MEETING VOCABULARY
Meetings are the most common element of
business and if you want to accomplish
anything in the business world you have to
know how to communicate with employees and
business partners. Therefore we prepared a list
of common vocabulary and expressions used
during meetings.

VOCABULARY RELATED TO MEETINGS:


• Absent – not present (Ausente - no presente)
• Absentee – someone who was expected to be
present at a meeting for example but isn’t
(Ausente: alguien que se esperaba que estuviera
presente en una reunión, por ejemplo, pero no.)
• To adjourn – to suspend a meeting to a future time
(Aplazar - suspender una reunión a un tiempo futuro)

• Agenda – a plan of a meeting or a list of things to


be discussed at a meeting
(Agenda: un plan de una reunión o una lista de
cosas que se discutirán en una reunión)
• To allocate – to assign (i.e. a task to someone)
(Asignar: asignar (es decir, una tarea a alguien)
• Alternative – another option
(Alternativa: otra opción)
• Attendee – someone who is present (i.e. at a
meeting)
(Asistente: alguien que está presente (es decir, en
una reunión)

• Board of directors – a group of chosen members who


make decisions and oversee the activities of a
company
(Junta directiva: un grupo de miembros elegidos que toman
decisiones y supervisan las actividades de una empresa.)
• Boardroom – a meeting room (usually with a big long
table)
(Sala de juntas: una sala de reuniones (generalmente con
una mesa grande y larga)
• Brainstorming – a technique of solving problems by
sharing spontaneous ideas in a group
(Lluvia de ideas: una técnica para resolver problemas
compartiendo ideas espontáneas en un grupo)

• Chair/chairperson – a person who holds the meeting (is in


charge)
(Presidente: una persona que celebra la reunión(está a cargo)
• Closing remarks – last item on the meeting agenda
usually including a short summary, reminders
(Observaciones finales: el último punto del orden del día de la
reunión suele incluir un breve resumen, recordatorios)
• To collaborate – to work together (Colaborar, trabajar juntos.)
• To commence – to being, start
(Para comenzar, para ser, comenzar)

• Deadline – the time by which something must be done


(Fecha límite: el momento en que se debe hacer algo)
• To implement – to put into effect, to carry out
(Implementar - poner en práctica, llevar a cabo)
• Item (item on the agenda) – a point in the agenda
(Artículo (artículo en la agenda) - un punto en la agenda)
• Mandatory – obligatory, compulsory
(Obligatorio - obligatorio, obligatorio)

• Minutes – official record of the meeting including the main


discussed points and opinions of the members as well as
decisions
(Acta: registro oficial de la reunión, incluidos los principales
puntos discutidos y las opiniones de los miembros, así como
las decisiones)
• Motion – a suggestion which is put to a vote
(Moción: una sugerencia que se somete a votación)

• Objective – goal (Objetivo – objetivo)


• Participant – someone who takes part in a meeting or event
(Participante: alguien que participa en una reunión o evento.)
• Show of hands – a vote counted by raised hands
(Exhibición de manos: un voto contado por manos
levantadas)
• Stand in for – to represent someone who is absent
(Suplente: para representar a alguien que está ausente)
• Unanimous – in complete agreement
(Por unanimidad - en completo acuerdo)

The Executive Committee

• An Executive Committee is a smaller


group with close ties through leadership
who can get together, often with little
notice, to address pressing issues that
affect the organization substantially, such
as an emerging crisis. The Executive
Committee has the power to act on behalf
of the full board.

DUTIES AND RESPONSIBILITIES OF THE


EXECUTIVE COMMITTEE
• Boards will outline the specific duties
and responsibilities of the Executive
Committee, which vary according to
each organization’s needs, in the
bylaws.

PROFESSIONAL DOCUMENTS -THE ACTA


What is the Company Charter?
• It is a mandatory legal document that
constitutes the legal basis for the opening of
any Company or Association.
• BUT, The most usual way in which we have to
deal with the drafting of a document of this
type will generally be through MEETING
MINUTES, which must contain at least the
following information:

HOW TO MAKE A RECORD


The Acta must contain at least the following information:
1. The date and time of the meeting.
2. A short introduction explaining the reason for
the meeting.
3. In the body of the minutes we will find a detailed description
of everything that happened at the meeting: the agreements
made, the points that have been discussed and the
conclusions that have been reached.
4. At the end, the date of the next meeting can be recorded.
When the minutes are already drawn up, all the people who
have participated in the meeting must give their approval on the
document and sign it. This is known as the minutes carving.

• A decision-making entity between board meetings.
• A forum for conversation and discussion about things
that matter.
• A place to vet strategies before putting them in front
of the board.

COMMITTEE?

• Board chair and ED meet to discuss the charge of the


committee.
• Put the Re-draft of the charge on the next EC Agenda
• Have someone take a look at the By-Laws.
• If you can’t make a big change, make a small one.
• Last but not least: Quick written reports from all
committee chairs must precede each meeting.
