By critical activities, we mean high impact and high visibility activities that could have an impact on our reputation and contractual engagements (sponsorship). For example, the Best Managed which has very tight deadlines with precise steps to get to the final outcome would be considered a critical activity or an event for which invitations have already been sent or has been advertized. A publication wouldnt be considered critical as it could be delayed without too much impact unless it was part of contractual engagements. If a pandemic does occur and high absenteeism is experienced, we will need to be able to prioritize our activities and ensure we deploy the appropriate resources to deliver on the critical activities. We need to think about the decision-making process and who your backup would be.

Event Guidelines Draft In the potential situation of a pandemic, we need to have guidelines on the decision-process to decide to host the event or not. Below is a draft for discussion and your input would be very much appreciated. Guidelines: Many factors need to be considered before cancelling an event: Spread of the flu within the area would it be considered a risk if we brought a number of people in one location Ability to support the event - if local staff are sick Cost already paid toward hotel, etc.
If the planning of the event is well underway (invitations have been sent, cost have been incurred), you would need to consider the impact of cancelling. If there isnt sufficient resources to support the event but the spread of the flu is minimal, you could consider requesting help from another region or cross-train a few admin assistant to allow you to host the event If the flu is widespread, you can consider turning your event into a LiveMeeting session or decide to postpone to a later date
If the event is still in the planning stage and hasnt been advertized yet, it would be easy enough to postpone if we feel it wouldnt be appropriate to bring people in the same room.
