CHAPTER I PROJECT IDENTIFICATION

PROJECT CONTEXT

With the quick escalating advancement of technology within the past years, there is only one sure thing, and that there is more to come. Ever since the wide application of computers in the daily activities of men, people became dependent on the internet. In the 1990s computers became very common to all household as compared to the previous decade. This was because of wide use of

computers in school or work since it is considered as a necessity by then. With the introduction of the internet to the public, many people or would be surfers realized the colossal potential of the internet, that it is not just limited for the use of businessmen. Today, many sites were

developed just to provide an easy access to a certain information or genre of topics. Having an access to the internet is just like having an access to the biggest library in the world. With its fast means of providing data 3

one can search any information within a minute. Communication of the past was widely improved by the use of internet. Distances and location is no longer a burden in contacting any person, for as long as there is an access to the internet. The greatest example is the snail mail. If we eliminate or lessen the cutting of trees in our forest, but still going beyond our desire for technological excellence, there is no need to worry, we can still live in this planet and have a promising life ahead of us. At the beginning, the school was exclusively for high school boys as St. Agnes was the high school for girls. Among the associates of Fr. Carullo were Msrg. Justiniano Romano, Fr. Alfonso Molina, Fr. William Rehante, and Fr. Rustico Burce, among others. Sometime in 1952 a very strong typhoon visited Albay which brought about so much untold sufferings to many people and among those affected was the Liceo de Albay which was badly damaged by the typhoon. Because of the effects of the typhoon, the living conditions of the people became very difficult, and operating the school was becoming untenable. It was also at this time that SVD was looking for a place to put up a school here in Albay. According to a very reliable informant, a certain Fr. Joseph Bates kept coming back and forth sometime in 1959-1960 to the Bishop and was arranging and negotiating for the acquisition of the Liceo de Albay. Circumstances at the management level of Liceo seemed to be no longer favorable to continue the management of the school due to problems related to finances. So it was evident that God interceded for the transfer 5

of the ownership of Liceo de Albay from its former owner, Fr. Carullo to the SVD's led by Fr. Joseph Bates.

Fr. Joseph Bates poured in his personal finances and brought money coming from his family and friends, from the United State of America. When the Bicol Association of Catholic Schools (BACS) was formed, Fr. Bates was chosen as its chairman. Then, another priest by the

name of Fr. Honesto Moraleda, who was the parish priest of St. Micahel Parish in Oas, Albay came to know Fr. Bates in the course of their

jointly running the affairs of the BACS, including the holding of the very successful BACS Meet. The two (2) came to know each other very closely and so, Fr. Bates invited Fr. Moraleda to join him in the school and with the permission of Bishop Flaviano B. Ariola, Fr. Honesto Moraleda officially joined Fr. Bates and became the 1st High School Principal

while Fr. Bates was the Director. In 1961 the Liceo de Albay became the Divine Word High School, later to become Divine Word College of Legazpi.1 Today Divine Word College of Legazpi is continuously aiming to be the best school in the region and competing even in the national level of education, by applying different academic approaches and strategies in serving its students and the community with excellence and

professionalism.

The school acquired and maintained a website application to be updated with the present trend in information technology. The Divine Word College website only displays information about the school and never interacts with its viewer. It displays the history and background of the school, the courses being offered by different colleges, the updates from the presidents corner, the board passers, activities and events, the offices and its staff, and even link to the new e-student, efaculty, e-library and many more. This website as far as the researchers discern is not sufficient and is not even good enough compared with other schools and universities internet sites, in terms of its capability to bring more reliable, accurate and updated information to the general public and its students. Applying more complex and interactive web sites that will

cater its need to compete with the rest of the school in the region and even the world will further promote its mission of academic excellence and service to every Bicolano. Upon completion of this proposed new website, the academic staff, the President, the Dean of the College of Engineering and Computer Studies, the Faculty, the students, and the public will play a vital role. The President can post and update his messages to be viewed via this media, and his office will be in-charge of posting the monthly updates of 7

the school.

must post the departments information and messages to the concerned faculty and students. Teachers will be given the rights to upload his/her preferred lesson for the students. Student and the public as well can interact with their teacher using the proposed online forum. Similarly the public can visit the school website anytime to browse more about the school and its services.

Description of Proposed System

The proposed system will allow the President to personally input and edit directly upon log in the Divinian Updates which they release every month and also he can post any announcement and message that he wants to announce through this internet media. The President will have his own designated portion of the site where he is the only one who can input or edit information that will be showed in it. The Dean of the College of Computer Studies likewise can post the departments messages and information. The information will be viewed and seen by the general public who wish to visit the Divine Word College Website. The level of authority with regards to the extent of the message or information that the individual can publish to the site will be based on their position in the organizational structure of the institution. The professors of the College of Computer Studies will also have a place in the site where in they can manage to connect to their student and share thoughts and information as well as lessons using the online forum. Every Professor and Student will have their own account hereby preventing identity theft and limiting misconduct that can lead to libelous charges that can harm the school or the professors themselves. Each account of a professor is entitled to have their own group of students. The students who are affiliated in a group of a teacher are 9

entitled to download any information and lessons that the professor wants to distribute for the wellbeing of their students. Data from the professors that are needed to be distributed to the students can now be downloaded by the students from the site given that they are a member of the group. Each student are given a right to enter the site and make a private account so that they can participate in forums and download the data that are addressed to them. Every student who is affiliated to a certain group of a teacher can also interact in the forum given that they are logged-in to the site. The Student lone publication body of the school, The Channel, will have its room to the proposed website. The Editor-in-Chief can post and update the channel page content that displays the headlines and important articles of the upcoming issue of the news paper magazine.

OBJECTIVES

SCOPE AND LIMITATIONS

The study will concentrate on upgrading the existing website of Divine Word College of Legazpi, which displays information about the later. events, Posting of information will be done such as issues posting of company profile, history, announcements, profile of the

administrators and faculty members, messages from the president and dean of the college of Engineering and Computer Studies, the divinian updates and calendar of activities are included, organizational structure and charts, facilities and services, latest board passers in accounting, engineering, nursing, and teachers licensure examinations, and its archives will also be available online. School courses and admissions, offices and its structure as well as updates from them will be viewed via website. Interaction between concerned staff especially the president,

student and the public will be made through online forum where teachers and faculties can post messages to their student, upload lessons and file. Archives of the divinians and presidents corner will be viewed from this interactive website. A video presentation will be played from the home page containing the school promotional advertisement. 11

The system will be equipped with state of the art graphical decoration and background to entertain and amazed its visitors and would be surfers of the net. This website will not touch on the enrollment system, the student profile and academic records, the faculty load and reports, the registrars and accounting records of students and its faculty, the library and its available materials and the assignment of academic subjects. But a link to all of this electronic web access will be available on the website.

SIGNIFICANCE OF THE PROJECT

The entities who will benefit from the study are the following:
School. With the use of this project given a chance to publish it

on the internet, the school can unlimitedly promote itself and be viewed throughout the world. This will serve as another promotional

advertisement to everybody who uses the internet.


Administrator. The president in particular can easily touch on

some information that will be available on the web page; they can post any message that he wants, to inform the concerned individuals and the viewing public about the latest and updates from the school.
Faculty. Teachers and educators of this institution can upload

their lessons to the website, and post some notes for their students.
Student. Student can participate in the online forum and have

access to the uploaded lessons by their respected teachers. 12

General Public. Another way of connecting with the school and

their Alma Mater if they are a former Divine Word College Graduates. They will be informed regularly about the school undertakings, activities and accomplishments by simply browsing the web to its website address.
Proponents. Accomplishing this project will test the authors

ability and competence in handling broad and challenging researches.


Future Researchers. This study will aid future researchers in

handling and managing thesis writing and will serve as their reference.

This chapter contains the literature, studies and definition of terms that are relevant to this study.

LOCAL LITERATURE

Van Dusen sets forth an optimistic view of how technology will transform education. He quoted that advances in computer technology pave the way for an accessible inquiry system. With the use of a

computer and the World Wide Web, examinees can easily check the results of an entrance examination. The push to provide technology in schools has been successful in recent years. According to Goldman, Cole and Syer (1999), most schools have computers hook up to the internet. Although technology is more prevalent in the schools, several factors include placement of computers for equitable access, technical support and availability of services. With the aid of the Internet and Web technology schools are undergoing a major transformation. There is a massive effort to utilize the internet as an effective communication tool and storage medium for education, research and support services. The web is both a communication and computation medium supporting direct asynchronous and synchronous communications, data storage and indexing and vast arrays of other multimedia, client-server or peer-to-peer interactions. Frequently, the

internet is used for course web pages, electronic message boards, e-mail distribution lists, online grading or even result inquire.1 That is why the researchers intend to create an interactive website that will bring out the Divinian spirit to the world of multimedia and technological development. This will not only boost the school services in 16

terms of providing news and updates to the public but fulfill its dream to be one of the best in the region and in the world in terms of information technology. Database System Concepts Fifth Edition also helped the

researchers organize their database structures that they need to implement their system. In this context they presented the fundamental concepts of database management. These concepts include aspects of database design, database languages, and database-system

implementation. This text is intended for a first course in databases at the junior or senior undergraduate or first-year graduate, level. In

addition to basic material or first courses, the text contains advanced material that can be used for course supplements, or as introductory material or an advanced course.2 Databases are the main reason they enjoy highly dynamic and exciting online applications. A database is basically a critical factor in the quick storage, process as well as display of information. It has

become an integral part of any organization, regardless of type and size. In most cases, commercial shrink wrap software products usually lack the key feature, or are more likely to fail in meeting your companys unique requirements. This is why most competitive organizations

important that is why interference of its transmission and storage must not be put at stake. Likewise the proposed system will have its own

database management system, and necessary measures must be observe, and data should be well kept and manage.

FOREIGN LITERATURE

Web utilities are specialized utility programs that make use of the Internet and the Web easier and safer. Some of these utilities are

Internet services for connecting and sharing resources over the Internet. Others are browser-related programs that either become part of your browser or are executed from your browser.4 One of the concept in creating and upgrading the DWCL online information system is to integrate the so called sharing and uploading of lessons by teachers in order for student to have access to data and information using the medium, electronic file transfer. This study is capable of transferring

data from one source to the other using World Wide Web, in local area connection or via live application, the internet. Upon completion,

messages and short insights from concerned students, teachers and public viewer will have its room the integrated online forum.

Encryption is a way of concealing information by changing it into apparent gibberish, and only legitimate users have the key to changing the gibberish back into comprehensible form. Data is encrypted by

means of mathematical formulae, and the most powerful forms of encryption, called strong encryption, are extremely difficult to break. The strongest forms would, theoretical, take very large number of computers many billions of years to solve. By the time the Earth will be gone, anyway, so the information would be rather out of date.5 Issues like security is very much essential in handling and managing vital database infrastructure, much as to unlock it via internet and be viewed by not only a few but the entire internet surfer around the world. Different scheme and approaches must be done in order to secure data and information and free it from suspicious threats, viruses, and hackers. Much as the sharing and uploading of file using this medium, will entail bunches of security procedures. The world wide web (Web, for short), is a distributed information system based on hypertext. Web interfaces to databases have become very important. After outlining several reasons for interfacing databases with the Web, we provide an overview of Web technology. The Web has become important as a front end to databases for several reasons: Web browsers provide a universal front end to information supplied by back ends located anywhere in the world. The front end can run on any

computer system, and there is no need for a user to download any 19

special-purpose software to access information. Further, today, almost everyone who can afford it has access to the Web.6 This research will create the companys Website of Divine Word College of Legazpi, and will handle some information and data dissemination to concerned individual in and out of the school premises and will serve as promotional media with the use internet. Dynamic sites are those sites where the content and design live separately. The content lives in a database that is placed on a webpage only when needed or asked. The benefit of this is that it allows for

quicker page loading and it allows just about anyone, with limited or no web design experience, to update their own website via an administrative backend. This set-up is ideal for those who wish to make frequent

changes to their websites including text and image updates. Dynamic sites are also great for image galleries, online calendars or e-commerce, etc.7 One of the features of this proposed system is the interaction between the user and the system. The President has the right and

Luna et. al. on their study The Online Information System of Guidance and Testing Center of Divine Word College of Legazpi stated that their system will help the researchers on how to provide an accurate, integrated, concise, complete and relevant on-line information system. Through this study the researchers were able to

learn how to eliminate or lessen all possible errors from a previous manual system. The study started by conducting interviews with the

college, high school, and grade school departments. Then the design of the database that was patterned to the school main web page is made. The page contains organizational chart of all the Guidance Office staff, student profiles, adding and viewing test results, news about the Guidance office, and comments from the students. The data concerning the students profiles and comments from the students could only be viewed by the personnel within the office.8 Going online is something that is very familiar by now, a lot of office, business and banking and even school transaction are done using online technology. Application of these new tools in different form will do a greater help in speeding up the long process of daily manual transaction. That is why the Office of the Guidance and Testing Center of Divine Word College of Legazpi adapt such technological development. This system aided them to do things more fast and accurate, effective and efficient. Similarly Divine Word College of Legazpi website will aid

every concerned individual to learn and acquire more information by just surfing and visiting to it. The study concentrates on preparing and posting the entrance examination results in College, High School and Grade School Departments. It features the following services, namely Add and View Student Information, Add and View Comments and Add and View Test Results. Student Information, Add and View Comments and Add and View Test Results. Students and Professional will be able to view the mission, vision and historical background of Divine Word College as a whole. Each department contains information that describes and

explains the detail of duties and responsibilities of employees as well as its related purposes.9 DWCL HS Student Information System provided the researchers ideas on how to organize the data that are being gathered through manual system. Applying this new system will accomplish a lot to their office work and make the latter an office of quality service. When someone speaks of information today, an automation system is implied. Divine Word College of Legazpi Student Affairs Information System is developed to meet some encountered problems in data processing such as profiling of student personal data, monitoring the attendance, recording of tardiness and recording the violations incurred by each student activities in each organization, recording, saving, retrieving and generating reports daily, weekly, monthly, quarterly or 22

yearly.

It includes the vital procedures such as file handling and

processing reports.10 Though this proposed system is not capable of generating reports on daily or monthly bases, monitory the attendance, recording violation etc, one thing is for sure it will definitely serve as source of information about Divine Word College of Legazpi.

FOREIGN STUDIES

The PIHnet online forum allows member teachers to apportion resources, critique activities and discuss successes and challenges of carrying out PBHI units. Indeed increasingly it has been acknowledged that one of the main determinants of IT success is organizational culture, and consequently the purpose of this research is to examine cultural barriers and enablers which have impeded or facilitated the implementation of E-Government initiatives in Malaysia.13

CHAPTER III TECHNICAL BACKGROUND

This chapter exhibits the existing and proposed content diagram, child diagram, diagram 0, entity relationship and the narrative explanation of these different diagrams. database normalization and data dictionary. Included also under are

NARRATIVE EXPLANATION FOR MANUAL/EXISTING SYSTEM

The current Online Information System of the Divine Word College of Legazpi displays much information about the school. Its facilities,

administration and employees, its background and update, the activities and achievements and many other thing that describes the latter in order not just to give ideas and knowledge to the public, but also to promote its identity using high-tech electronic media. Today this is very much

needed not just by schools, universities and colleges, most especially by the business entities in our society, more and more transactions are being done online that somehow involves and carry monetary object. There are many Universities abroad and even in our local region that are doing school transaction involving money, accepting payments via this media, and not only that, the so called online school or Online Universities are at hit in todays world. The Divine Word College of Legazpi Online Information System is currently managed by the Web Master who is regularly updating its 33

content via remote client computer.

Once uploaded, the new and

updated web page content is immediately available for public viewing.


Figure 1.0 is the Context Diagram of the Existing Online Information System of Divine Word College of Legazpi where the

webmaster or the web administrator is the one who is in charge of updating the system and entering new data onto it. Likewise visitor

(general public) of the website can easily view or access any information displayed in it.
Figure 2.0 is the Diagram 0 of the Existing System. It is the

expanded part of the defined processes done when the website needs updating. First, the Administrator or webmaster will have to gather data information from different departments and concerned offices like the Presidents office. The collected data have to be encoded to the server web pages using remote client computer. After encoding, the encoded data is immediately uploaded to the server which is turn broadcasts it automatically to the World Wide Web.
Figure 2.1 is the Child Diagram of the Existing Online System.

It discusses the process of data collection done by the webmaster to gather latest information that is available from different offices concerned like Presidents office that regularly distributes the Divinian Updates containing the latest important issues about the school. After collecting the data, it is subject for review and analysis by the webmaster.

Figure 2.2 is the Child Diagram of the Existing System which

discusses the process of uploading and saving of data.

After the

necessary review has been done, the web master will have to access the web server input some necessary access requirements, then edit and saves the data. Automatically the server will broadcasts the edited web content via World Wide Web. Any visitor of the website can now see and access the information carried by it.
Figure 2.3 is the Child Diagram of the Existing System it shows

the process of reviewing the content of the live web pages.

The web

master looks up cautiously to the content of each web page that he once uploaded for some error, if he finds some, immediately he will edit it using remote computer and after that uploads it right away.

NARRATIVE EXPLANATION FOR PROPOSED SYSTEM Figure 3.0 shows the Context Diagram of Proposed system.

This diagram depicts the basic roles and function of every entity involved in the proposed system. From inserting of Admin and CSIT Deans

announcements, forum posting of CSIT Faculty, uploading of files by CSIT Faculty, student interaction through the forum and downloading of files, visiting of the general public to access informations about the school website and up to the posting of the Editor-In-Chief of The Channel with regards to its future articles.
Figure 4.0 contains the Diagram 0 of the Proposed System. It

shows the logging-in of Admin, Dean CSIT, Faculty CSIT, Student and Channels EIC into the system. This diagram also contains how the

users can apply for web access in order for them to participate in the services that are provided by the proposed system and how selected users like students and faculty are given right to use upon registration, as well as the browsing of a visitor or the general public in the site. Posting of announcements is done by Admin and the Dean of CSIT, forum interaction and file sharing is being participated by CSIT faculty and students, and uploading of Channel articles by the Editor-in-Chief of the school student publications. All of the entities stated in this figure receive data and information in the form of web content.
Figure 4.1 contains Child Diagram of the Proposed System

which shows how the users are going to log-in to the proposed system. 42

Aside from that, this diagram shows how the system will authenticate the username and passwords of the users by accessing their designated database.
Figure 4.2 contains Child Diagram of the Proposed System

representing how the Faculty of CSIT and the Student signs up and how the registration are approved by the concerned top ranking individual using this online system. The Dean will approve the new CSIT Faculty member and the CSIT Faculty members are the one that is responsible for approving the pending registrations of their students.
Figure 4.3 is the Child Diagram of the Proposed System which

is primarily composed of the process involving file sharing, forum interaction, message broadcasting, the sites search engine and the broadcasting of the future Channel articles. This Child Diagram basically shows how the proposed system will distribute its information and data.
Figure 4.6 is the Entity Relationship Diagram of the Proposed System having Entities namely:

Administrator, Dean of Computer

Studies, Faculty and Student, the Channel Editor-In-Chief, the General Public and the Website interaction process. School Administrator who is the President inserts Divinian Updates into the website, and the Dean likewise posts announcements to it. The Faculty and Students interacts with each other, share Furthermore Channel

information and thoughts using the website.

Editor-In-Chief inputs the publications headlines into the system, and 43

the General Public visits and accesses the site, viewing all information that is open for the public.
