It also became the first music company to run a FM station and pay royalty to the artists whose songs are played on the FM radio. For instance, the concept like digital sales was first initiated by Music Nepal and which was later followed by other companies. Music Nepal was the first company not only in Nepal but in the entire South Asia to introduce a digital loop dubbing plant and acquire license from multinational music companies like Polygram, RPGML (HMV) and Magna-sound for sale representation in Nepal. CHAPTER THREE
ACTIVITIES / FUNCTIONS PERFORMED DURING THE INTERNSHIP PERIOD
INTRODUCTION
My previous work experiences were entirely related to technologies; that were not related to my current job. Currently this has changed from technical to mixture of technical and Management as I got a chance to work as Marketing Manager due to my Qualification (MBA) and specialization in Marketing. Here our areas of target were; y y y y To increase International Clients To cover large market in various International market To increase market in Nepal To come up with various solutions (technical / non technical) so as to make convenient for our customers / clients// distributors and dealers Most of the major assignments that I did handle were long-term projects that had already started and they were at the most advanced stages of their completion. They are; y y y y y y y y y y y MN website revamp / promotion / user friendly etc Comprehensive Sheet development and implementation Developing Marketing Strategies Research for International TeleCos Statement Management Promotional Proposal Writing Technical and Non technical presentation Teach Email Writing Promotional Material Development Organizational Management: Work Flow, Space and Staff management VPN Desktop Application: Requirement analysis, Modules Identification, Development, Implementation and testing y Library Software: Requirement analysis, Modules Identification,
Development, Implementation and testing With all these activities, MNs main target is to increase its market area in both National and International.
PROCEDURE OF THE ACTIVITY / FUNCTION MN WEBSITE REVAMP / PROMOTION / USER FRIENDLY ETC
MN has its own home site www.musicnepal.com where users from national / international can easily buy any kind of Nepali content (Music / Video / ringtones etc) from website with various payment systems like eSewa, Paypal, Paybill, SCT, Scratch Card, SMS, Paid Membership facility and more. There is no technical person in MN who knows about pros and cons of effective website so they gave every responsibility to dedicated IT Company who doesnt know business aspect of MN website. MN was totally dependent to IT Company and whatever they do, MN assumes thats the best way of developing website which was totally wrong concept they were having. My role in the activity / function Here I need to go through each and every section and features available in website and check whether they are user friendly or not; all features are workable or not; reports are real or not; how to increase traffic in MN site; who are potential affiliate members; how to get more and more affiliate members; what are needed to be done to make MN site more user friendly and more effective; and so on. As I am a software Engineer and worked as a software / Web Developer, I know many things about How to make Website effective? So there was no complexity at all to complete this task. y I went through each and every section and listed out all the issues; some of were Bugs and some of were to make user friendly. y Forwarded those issues to IT team and had regular in touch with them via email and phones. Sometimes I need to visit them due to arise in confusions on issues I had mentioned. y y Regular follow up on status When they are done with any issue, I was informed and then I do re-testing. If there is again issue, I instantly notify IT team, else they continue on new issues. y The website is much better now, functioning well. Some issues are still under process.
Beside this, I also need to increase traffic on MN site, so I began to communicate with organization or website holders which are related to Music, ecommerce or Entertainment like Cybersansar, Fursad.com, thamel.com, mysansar.com, DcNepal.com and so on. Now all of them are our affiliate members. Outcome y y MNs home site is much more user friendly than it used to be Major features are kept in the first half of the page so that users dont need to scroll down the page as they dont have much time y y y y Increase in Affiliate Members Traffic is higher than previous days. Online purchase is increased Increase is partnership with other music companies for online promotion and sales
Conclusion and Recommendation Making MNs site more user friendly is one of the major achievement as it brings many positive outcomes to company as mentioned above. Though there is few more issues still need to be done. And revamping website is ongoing process as technology is changing day by day. So company should not stop here and keep on revising website with new technologies. Learning from the activity / function What I know from my experience is not enough for making MNs site more effective and increase traffic to it. For this I talked with my programmer friends, SEO
experts. With their help, I request IT team to implement SEO features, various ways to make site more user friendly and more. Whatever I listed as my modules list or issues list, all were not implemented instantly. Besides this, some were added while others were not, they are still in process. I need to push IT team a lot to implement a single feature in MN site as they used to be busy in other tasks as well. Need to follow up several times per day. Some of the features were implemented which help in increase in traffic to site and affiliate members were also increased.
ORGANIZATION DEVELOPMENT
My role in the activity / function MN has only 35 numbers of staff and almost all were non technical who were doing all official tasks manually, in a tradition way though all have separate computers and Internet access. Only few were technical. In MNs Library, there are more than Twenty Five Thousands songs and thousands of videos, whose records were kept in Excel. So for working with this record, one should be expert in Excel else the date might went wrong and minor mistake in record cause blunder impact on Finance department as MN is also distributing royalty to those who are related to Music. Contents were also distributed in Nepali TeleCos including NTC, NCell, UTL, SmartTel and International TeleCos from Dubai, Maldives, Qatar, Saudi Arab, Malaysia, India and more. So librarian was keeping records separately for each operator. When we need information about one particular song, they need to go through all those files and make separate file and submit us. This process was tedious and time consuming. So I need to make record keeping process accurate resulting fast and effective reporting. Also, all operators begin to request us to provide authority letter of all contents which we used to provide them. As this was new for us, we need to develop authority letter from each partner company; for all contents whenever we provide. This means if there are 100 songs from one Partner Company, we need to make 100 authority letters from that company; which is very time taking and lengthy process. So need to find fast and convenient way, not breaking the process of sending content in international market.
Content uploader sometimes need to communicate with International client and as they were not good in professional email writing, I took an hour session and taught them how we write Business / professional email. In MN, there is no defined TOR for staffs, especially those who are within library (Editor, clipper, uploader, record keeper etc). So I need to develop TOR for each staff especially from Library. Outcome y Prepared a final Comprehensive Sheet after several revisions within management team; containing all the required headings (Column in Excel) which needed to be filled by head of Library based on all records provided by all TeleCos. Staffs from library were taught about how to work on it and how to generate reports based on different request. y For authority letter issue, I developed an Excel sheet called Statement Sheet where all songs / videos from particular partner company are kept. Statement Sheet is implemented and whenever Partner Company comes for payment, we request them to sign on it with their stamp and later on we used them as proof for international distribution of content. y Content uploader are now writing formal and professional emails to clients without using any pranks like instead of YOU, they used U and so on. y Prepared a Work Flow diagram with defined tasks and gave a presentation to them.
Conclusions and Recommendations y Librarians are Implementing Comprehensive Sheet, but as they are non technical and old staff of MN, they are not been able to adapt change. Several hours are devoted for them on using Excel easily and effectively, but not much progress. So we recommended the need of Digital Supervisor to top management; who must be technical and can handle all issues related to Library. y Statement Sheet worked absolutely as we wanted, the process in International market was not disturbed and going smoothly. Neednt spend much time in contacting each Partner Companies and collecting signs for all content. y Flow diagram helped each of employees to understand their responsibilities and contact person. They are working accordingly and process is running smoothly.
Learning from the activity / function I learned new functions and features of Excel during preparing Comprehensive sheet and statement sheet. But the major difficulty was Change Management. The senior staffs who feel easy working manually and using basic way of Excel only, they were not feeling comfortable with new Comprehensive Sheet and took multiple days to convince them to work on this.
Figure: Newly Designed Album Cover with Scratch Card for Remake of Narayan Gopal Learning from the activity / function As this is my first experience in marketing area, I got a chance to learn how products are distributed and what short of strategies are used in MN for marketing and promotion. I got a chance to implement those things which I had studied during my specialization like designing of Inserts, publishing advertisements in News papers, research and analyzing potential market area etc.
After the approval of proposal, I need to prepare agreement between TeleCos and MN, being MN as Content Provider and TeleCos as service provider. Sometimes, I need to prepare agreement between 3 parties, one is MN Content Provider, second is mediator, and third one is TeleCos - Service Provider. Outcome y Find out Content Management System developed at US, from where we can provide content to various websites including iTunes, Amazon, Simphony, Entertainment etc. y Agreement was done with Mediator called PYRO for Golf Countries like Qatar, Saudi Arabia, Dubai y y y Send proposal to TeleCo of Japan, waiting for positive response Agreement was done with TeleCo of India called TellyTune. Agreement was done with TeleCo of Malaysia called ZED
Conclusions and Recommendations y Agreement with PYRO was done successfully so this opens more windows for other Countries like Indonesia, Singapore, and UK etc. So we need regular follow up on other remaining countries.
y
Need to study the possible market area at Japan i.e. Nepalese population and their type. Beside this Japanese TeleCo does not understand the RBT procedure, so need to have meeting with them so as to clear the concept.
Learning from the activity / function During this task, I got a chance to know various ways of doing business with music. I also got chance to know the possible services (RBT, VAS, IVR) each teleCos can provide and its benefit to our organization. Almost all TeleCos need content in different format or with different specifications with different Khz, Bit rate, Fade in / out etc. So every time we need to work multiple time in one content so as to provide in different TeleCos, which used to take a lot of time, and all those records were kept in separate files.
MN is already distributing PD and MC in market (out of valley). Once the customer purchase for PD / MC, he/she is not going to purchase PD /MC again and again. So to use those PD / MC, we came up with Download Center. For this we developed software called VPN 1, which is Desktop application. We bought IBM server and placed that in NTC after having public IP address. We also developed a various Modules required for VPN 1, including separate procedure for Songs and Videos, Search facility with Artist Name, Song Title, Distributor, Content Partner, Album, Genre etc parallelly. Users can go to download center and download songs / videos as per their choice in PD or MC, either purchased from MN or outside. We had meeting with IT team and explain them the modules required in VPN. The development was started instantly and we keep on following them for updates and conducted regular testing. Outcome y y After 3 -4 weeks, VPN 1 is ready to test LIVE. Came up with multiple dealers and setup that in their local computers. Taught them how to use this VPN 1. Conclusions and Recommendations y After collecting feedback from dealers, we came to conclusion that this VPN 1 is functioning properly but the download speed is very slow i.e. 5 minutes in an average per song. y y Recommend dealers to increase Internet speed, Need to revamp this application
Learning from the activity / function With this application what we learnt is Software Development is not the only solution, to make the development of software successful, we need to do many other things as well including complexity analysis, confirmation of system specification, whatif analysis and so on.
We collected feedback from all dealers and we conducted self test as well. The current scenario is that all dealers are having Internet speed of 128 kbps or 512 kbps. And the problem is dealers cannot get more than 512 kbps as NTC or others ISPs are not providing higher band width for small business or personal use. So we came up with conclusion to revamp VPN 1 and came up with idea of VPN 2. While visiting and testing with dealers, we realized, it would be much better if the download is done from personal hard disk, like we used to copy one file from one location to another in our computers within a second. Then we conducted meeting with IT team and discuss about the possibility of this VPN 2. They gave us positive sign. Here we are using zip unzip feature before downloading any selected content. Outcome y y y After few days, we came up with VPN 2. Download speed is very fast, similar to copy paste in local computer LIVE test is not done yet
Conclusions and Recommendations y VPN 1 is failed due to slow download procedure and we need to make sure this shouldnt end like that. y y Need testing from every aspects Need to conduct presentation in front of all dealers.
Learning from the activity / function With this application what we learnt is Nothing is Impossible. If one application fails, we should not quit whole process. Need to conduct critical thinking and must come up with solutions to overcome existing problems.
In MNs Library, we can find more than twenty five thousands contents (songs and videos), and contents are increasing day by day. Now in current scenario, all records keeping is doing in Excel, which is becoming complex to handle. Risk is increasing day by day due to increase in content. Besides this, we are also providing royalty to respective artists, so we also need such module which calculates royalty to particular artist. So I need to study available LMS (related to music) and RMS. Outcome y Based on studies and consulting with staff from Library and Finance Department, I developed a list of Modules. y y We finalized the Modules after few revisions and explain those to IT team. LMS and RMS are under construction
Conclusions and Recommendations y Need to conduct regular follow up with IT teams regarding updates on LMS and RMS. y Royalty calculation is different and new to IT teams, so first we need to explain them how we deduct Royalty from Income and so on.
CHAPTER FOUR
PROGRAM WORKPLACE RELATIONSHIP
I am maintaining Dynamic Relationships in the Workplace and I am aware with the fact that Good relationship will get your job done five times quicker than having bad relationship with co-workers or any person you come through. I am friendly and helpful to all my co-workers. I will apologize if needed. I built strong relationships through effective communication which I had learned during my Communication Skill class. This helped me in gaining the trust of others and they believe that by collaborating with me their results will improve. MN used to come out with new products, services and many more which require marketing so I was able to utilize my theoretical knowledge gained during specialization in marketing. HR is the major part of any organization. Though I am Marketing Manager, I was given a task to manage organization including staff and room management. Going through this process, I raise the need of Digital Desk Officer and Digital Supervisor. Top management team was convinced on this need and give permission to go through recruitment process. Digital Desk Officer is recruited already and Digital Supervisor is under process. The task that I have performed and I am performing is very helpful for the organization for further proceeding of task and development of the organization.
CHAPTER FIVE
CONCLUSION AND RECOMMENDATION
CONCLUSION
In conclusion, I have to attest both of my supervisors (Uttam Thapa - Chef Administrator and Dhiroj Shrestha Program co-ordinator) for their support and guidance. I really appreciate the way I have been guided through this Live Business Project with MN, beginning from the opportunity to take the time I needed to refresh and expand my knowledge in several issues concerning marketing, and finally earned the confidence to deal with assignments myself. It is through them that I did enjoy my work every day.
RECOMMENDATIONS
I recommend that MN should once in a while organize a team building exercises outside office to its staff in order to bring them closer. This would give staff time to reexamine what they have achieved so far, share personal experiences and ideas, learn to be together and appreciate the importance of team work at work. I must recommend MN to send their staff for several trainings like Account packages, Excel, Email Writing, English Language and so on. The current Networking is not that good; anyone can do anything, no proper permission set up so I strongly recommend working on Networking. But before this, I would like to recommend for room management, this will reduce cost of networking.

For this we checked the status of mobile carrier in Nepal. For PRBT service, mobile must have good video qulity. Conduct Meeting with marketing PVRT service team from NCell to know/discuss the possibility/complexity of use of PRBT services in Nepal.
