Chapter 1

OASIS Basics

Purpose To familiarise the user with the basic screen elements and navigation within OASIS.

Audience • New users

Prerequisites The user must be registered in OASIS before being able to log in to the system.

Logging on to OASIS

To receive an OASIS Password and logon for the first time, follow these steps.

1 Open the internet browser, and navigate to http://oasis.ausaid.gov.au.

The OASIS News page will appear.

2 Select

The Logon/Register page will appear.

3 Click the Register New Account Button

The New User Registration page will appear

4 After filling out and submitting this page, you will receive a Registration
Confirmation.

You will need to check the email address provided as part of your registration for
your temporary password.

5 Once the email containing a temporary password has been received, return to the

OASIS website (www.oasis.ausaid.gov.au) and select again.

The Logon/Register page will appear.

6 In the Email field, enter the exact email address that was provided on the OASIS
New User Application Form.

In the Password field, enter the temporary password, then select

The Change Password page will appear.

7 Enter in the password received by email in the Old Password field, a new
password in the New Password and Confirm Password fields, then select

The OASIS Home Page will appear.

To logon to OASIS after the initial logon, follow these steps.

1 Open the internet browser, and navigate to http://oasis.ausaid.gov.au.

The OASIS News page will appear.

2 Select

The Logon/Register page will appear.

6 In the Email field, enter the exact email address that was provided on the OASIS
New User Application Form.

In the Password field, enter the password created by following the steps provided

earlier, then select

The OASIS Home Page will appear.

Chapter 2

OASIS Application Forms

Purpose To familiarise the user with creating and submitting online applications.

Audience • Applicants

Prerequisites • The user must be registered in OASIS before being able to log in to
the system.

Creating a New Application

Once registered, applicants can fill in the ALA Scholarship application form online. In addition to the
application form, users are also able to upload copies of all their supporting documents.
Applicants can edit an application when in the status of draft, but applications cannot be edited once
they are submitted. Applications may be submitted and un-submitted before the closing of the round.

To create a new OASIS Application, follow these steps.

1 Login to OASIS using the instructions provided in Chapter 1.

Select on the Scholarships menu

The Application List screen will appear.

Please select the appropriate Scheme and Intake Round that you would like to
complete an application for. To continue, click Save

The Eligibility Requirements screen will appear.

Fill in the eligibility requirements

If the eligibility criteria entered are correct, the application will be created and
the Checklist screen will appear.

If you have indicated in English proficiency, ‘Pending’, you must change the answer to this question
must be ‘Yes’ before the application can be submitted and upload your test results in the documentation
section.

The Checklist

The Checklist allows the user to navigate within the draft application. Each section of the application
has a Checklist item, which takes the user into a different screen to complete.

The Checklist does not have to be completed in order. Once the items Eligibility and Mode of
Application (1 & 2) have been completed, any section of the application can be accessed.

A Checklist item is incomplete if it has an arrow next to it

Note: An Application cannot be submitted until all checklist items are ticked.

To access a Checklist item…

Click the cursor on the hyperlinked Checklist item.

Completing an ALAS Application Form

An online application created from a hardcopy application should be completed exactly as the applicant
has submitted it. This section does not explain how to interpret the information in the application form –
it is a brief guide on how to convert the information from hard copy to the online form.

best indicate the length of the period of
study as stated by the applicant. For
example, if the applicant has written 2001 -
2003, for a three year degree enter
01/01/2001 – 31/12/2003.

9. Previous Scholarships 6. Previous Scholarships Only include details of post-secondary school


scholarships or fellowships.

Select to add a previous scholarship to the list.

If the applicant has not had any previous scholarships,


select the ‘Not Applicable’ checkbox and save the
screen.

10. Awards 7. Awards Only include post-secondary school prizes or awards


that were not included in the record of Previous
Scholarships. This might include professional or
community awards.

Select to add an award to the list.

If the applicant has not received any awards, select the


‘Not Applicable’ checkbox and save the screen.

11. Publications 8. Publications


Select to add a publication to the list.

If the applicant has not written any publications, select


the ‘Not Applicable’ checkbox and save the screen.

12. Current Scholarship 9. Current Scholarship Select either ‘Yes’ or ‘No’. If ‘Yes’ is selected, details of

17. Leadership 14. Leadership An applicant’s leadership qualities and


potential to take up a position of leadership
are considered to be part of the selection
process. Their response should illustrate how
they have already demonstrated leadership
as well as their potential for leadership in the
future.

If the applicant has provided an answer that is


too long to fit into the field, only enter as
much as will fit without editing the text.

start and end dates of their memberships,
choose dates that best indicate the length of
the period of membership as stated by the

If the applicant has not had any professional

Tips for Completing an Application

Always click in every screen to ensure that the information that has been entered is
retained. Clicking ‘Save’ will return the user to the Checklist.

Select to clear information entered in a screen.

Don’t enter applications that are obviously ineligible.

Select the button on the Application menu to return to the Checklist screen.

The application status displayed in the Summary bar shows whether the application is complete or
incomplete, draft or submitted.

Attaching Documents to a Draft Application

Applicants are asked to provide documentary evidence of a range of claims made in their application.
These documents will be verified during the selection process and the application for enrolment at an
Australian higher education institution.

All relevant Supporting Documentation should be attached to the online application form. The number
of documents that can be uploaded is unlimited, however a single document cannot be larger than 2MB.
Files of the following types may be uploaded: .doc, .rft, .pdf, .gif, .jpeg, .jpg, .tiff, .png, .bmp, .txt.

Attaching a Document
To attach a document to a draft application, follow these steps.

1 Login to OASIS using the instructions provided in Chapter 1.

Select on the Scholarships menu

The Application List screen will appear.

3 Highlight the draft application in the Application list.

Click

The Checklist screen will appear.

Select from the Checklist

The Documentary Evidence screen will appear.

5 Select the appropriate type from the Document Type dropdown list.

6 Enter a description in the Description free text field.

The Choose File dialogue box will appear.

8 Navigate to the file to be uploaded.

The file name will appear in the File field.

The file will now appear in the list.

Either repeat steps 5 to 9 to upload more documents, or select to
return to the Checklist.

Deleting a Document
Any supporting documentation can be deleted from a draft application.

To delete a document from a draft application, follow these steps.

Select from the Checklist

The Documentary Evidence screen will appear.

2 Highlight the document to be deleted in the document list, then select

A verification will appear, confirming whether the document should be deleted

The document will be removed from the application.

Deleting a Draft Application

An application can be deleted while it is in a status of Draft.

To delete an application, follow these steps.

1 Login to OASIS using the instructions provided in Chapter 2.

Select on the Scholarships menu

The Application List screen will appear.

3 Highlight the draft application in the Application list.

Click

The Checklist screen will appear.

Select from the Application menu.

The Delete Application screen will appear, confirming whether the application
should be deleted.

The application will be deleted and the user will be returned to the News page.

Note: Once an application has been deleted it cannot be retrieved.

Submitting an Application

Once an all of the items on the Checklist have a tick displayed against them, the application is
ready to be submitted.

To submit an application, follow these steps.

1 Login to OASIS using the instructions provided in Chapter 2.

Select on the Scholarships menu

The Application List screen will appear.

3 Highlight the draft application in the Application list.

Click

The Checklist screen will appear.

Select on the Application menu

The Submit Application screen will appear with the Applicants Declaration
displayed.

Note: The Applicant will have already read the declaration when they signed
and submitted their hardcopy application form.

5 Check the checkbox, and then select

A Submission Confirmation will appear and the Application Status will change
to Submitted.

Unsubmitting an Application

Once an application has been submitted, it cannot be edited. However, the application can be
withdrawn to a status of Draft so that changes can be made.

Note: An application can only be unsubmitted and submitted prior to the 30 June deadline

To unsubmit an application, follow these steps.

1 Login to OASIS using the instructions provided in Chapter 2.

Select on the Scholarships menu

The Application List screen will appear.

3 Highlight the draft application in the Application list.

Click

The Application Summary screen will appear.

Select on the Application menu

The Unsubmit Application screen will appear, with a verification confirming that
the application should be unsubmitted.

The user will be returned to the Checklist screen and the Application Status of
the application will be returned to Draft,
