 INTRODUCCION

El presente informe se basa en el diagnóstico que se le está realizando al archivo del

MINISTERIO DE TRABAJO YOPAL, el cual se comenzó a trabajar el día 21 de octubre
del 2019; esto con el fin de brindarle apoyo a la entidad antes mencionada para la
organización de la documentación y que en primera medida se comenzó con todo lo
referente a Investigaciones administrativa laborales e investigaciones preliminares, como
fundamento se debe tener en cuenta toda la normatividad archivística que nos brinda el
gobierno nacional con referente a temas de archivo y que es de vital importancia para el
buen desarrollo del trabajo

El trabajo se constituye desde la información que se evidencia en el cuarto de archivo de

la entidad, se cuenta con mucha información física que la mayoría se encuentra en un
estado de desorganización, por lo tanto, se realizó una inspección de los documentos,
organización por tipo de documentos y posterior a ello, foliar y encajar.

Al finalizar la labor que se está realizando se tiene como objetivo terminar todo lo
referente al tema de INVESTIGACIONES ADMINISTRATIVAS LABORALES E
INVESTIGACIONES PRELIMINARES; que para la quinta semana se siguen trabajando
en los documentos que se encontraron en las demás oficinas, que como se había
explicado en el anterior informe, salieron de la auditoria que le realizaron al Ministerio por
parte de la sede Principal (BOGOTÁ) y los funcionarios resaltaron que estos documentos
también se encontraban en su poder por falta de espacio en el archivo.
 1. DESARROLLO DEL DIAGNOSTICO

En el Ministerio de trabajo se encuentra el archivo de la entidad en el tercer piso, se

cuenta con poca ventilación, poca luminosidad, contaminación (virus, polvo); ya que no
había una persona contratada para la labor que ahora estoy realizando y por ende el poco
movimiento del archivo genera ácaros, la persona que nos llevó a conocer el lugar donde
se encuentra la gestión documental, hizo énfasis en la necesidad de la organización de
todo el tema de INVESTIGACIONES ADMINISTRACIONES LABORALES Y
PRELIMINARES; ya que tienen revisión del Órgano central en el mes de Noviembre, por
ello es necesario lograr culminar con el trabajo con rapidez, pero por supuesto con buena
organización. La documentación que se encuentra en estado activo y en proceso de
organización va desde el año 1999 al 2017, por lo que se comenzó a trabajar los años
más antiguos para finalizar con los años más actuales. En la quinta semana se realizó el
mismo proceso con años 2013-2018, resaltando que son documentos salientes de la
Auditoria y por falta de espacio en el archivo los funcionarios tenían estas carpetas en su
poder.

Cabe resaltar que las cajas no han sido debidamente puestas en estand; ya que ha sido
difícil comprarlos, igualmente se les sugirió comprar a la brevedad posible los estand; ya
que con el tiempo las cajas se tornaran débiles y les ocasionaran mal formaciones hasta
el punto de perder su forma inicial y generar el mismo estado en el que se encuentran las
demás cajas. A continuación, se muestra el avance de esta semana:

DEBILIDADES: falta de
personal capacitado, falta de OPORTUNIDADES:
instrumentos físicos y Mejoramiento continuo,
magnéticos para llevar un gestionar para adecuar

documentos, no hay archivo. AMENAZAS: Crecimiento
ventilación suficiente, del volumen documental,
generación de residuos, deterioro de la

FORTALEZAS: mayor documentación por causa
productividad y eficiencia catástrofe natural
en la búsqueda de la
documentación, ahorro de
tiempo cuando se archiva
bien, ahorro de costes.

3. RECOMENDACIONES

3.1. Es necesario implementar un sistema que mejore la organización y el lugar de

archivo.
3.2. Capacitar al personal para el óptimo manejo del archivo y con ello evitar
pérdida o mal posición de los documentos.
3.3. Importante desarrollar un muy buen habito de orden en el lugar o cuarto de
archivo.
3.4. Tener enumeradas las cajas y/o carpetas para su fácil ubicación.
