1. Project Overview and Problem Statement

The used of manual processes in business has decline since the rise of computerized
and automated systems. And in fact, nowadays, the use of computer-based business system has
become prevalent all throughout the developed and developing countries around the world due
to the increased productivity and efficiency of data processing. In the case of Jireh Trading, they
are currently using the manual sales and inventory system wherein computing for these are
done manually. They purchases specialized range of hardware, lumber and construction
products, maintain stocks or a shop, sell and deliver (for bigger purchases) products
to customers.

A lot of people still prefer to follow the manual way to record but we have found out at
Jireh Trading that they are looking forward to a more systematic way of doing sales and
inventory if one exists in their business. The manual system for them produces most of the
times, inaccurate data that can lead to loss of profit. The laziness during the traditional way of
recording of items too, gives them the idea of just doing approximates. For that, the
proponents proposes a computer-based sales and inventory system that will be used to record
all the stocks and upcoming items of the Jireh Trading, also the deliveries and sales, in which
way will help the business to monitor and control their income as well as their losses.

2. Project Objectives

General Objective. The proposed system aims to provide solution in sales and inventory
management system of Jireh Trading.

Specific Objectives. The following are the specific objectives that the proponents must
accomplish.

1. To understand how the existing system operates


2. To determine the problems encountered in the existing system;
3. To develop a software application that would:
a. //List of functions and uses of the proposed system
b. //List of features and characteristics of the proposed system
4. To determine whether the proposed project technically, operationally, scheduled and
economically feasible to implement; and
5. To endow with an implementation plan for the proposed system.

3. Project Benefits

Many businesses achieve their goals by completing projects that contribute to their
objectives. Here are some benefits a business can get having this project integrated.

d. Ensures the consistency of data such as inventory reports and product summaries.

i. Lowers handling and holding costs.
j. Helps speed up the order fulfillment process.
k. Reduces the labor costs associated with managing the inventory.

4. High-level Components of the Software Product

High Level Components contains the main functions of the system to be developed, it
is the main features that the system can perform and if the system does not have it, the system
fails to perform its primary mission or objective.

a. Inventory. This module produces all the stocks of the company, including the status
of a product whether it is still available, limited or out of stock.

b. Sales. This module is for the purchases. It updates real time whenever there is a
purchase. The selling of items happens here. As items are being sold, stocks in the
inventory are reduced too. Receipts are generated on this module too.

c. Deliveries. This handles the wholesale buyers. Includes their basic info and big
purchases from the business.

d. Suppliers. The module that contains supplier’s info and the business’ purchases
from them, whenever there are supplies added, the stocks in the inventory increases.

e. Reports. Produces daily, weekly, monthly and yearly reports on sales, inventory,
deliveries and supplies.

5. List of Optional Functional Units of the Software Product

Optional Functional Units are units that even they are missing in the system the system
will fulfills its main function but with degraded service quality.

a. Critical Stock Indicator. Items that are already out of stock is high lightened.

b. Notification. Notifies the user whenever there are changes made in the system.

c. System lock. Enables the admin to secure the system from unauthorized use.
There are a given number of trials as password is being entered wrongly.

d. Monitoring. The module that contains the audit trail or history of activities
done in the system that can be deleted or moved to archive. The database can
also be back- up and restore under this module.

e. Accounts. Responsible for the creation of new users, change of password and
log- out.

6. Tools and Technologies Used

In developing a system, the application tools are very important to support the front and
back end of the software to be developed. In able to develop a system the tools and
technologies that will be used is one of the most important factors to be consider.

The following are the list of tools and technologies to be used:

Microsoft Visual Studio 2010. There are lots of features added into the account of
Microsoft Visual Studio 2010 which will improve the productivity of application development.
Developers can use it for faster coding, collaborating among the whole team & more. And for
the creation of the user- interface that will manipulate the data the user enters, which would be
stored in a database management system. It offers a variety of programming language useful in
developing different application. The programming language to be used is C#.NET
Language, it is one of the programming languages designed for the Common Language
Infrastructure. C# is intended to be a simple, modern, general-purpose, object-oriented
programming language. It is easy to use, learn and web- friendly.

MySQL Workbench 6.3. It is a visual database designing and modeling access tool
for MySQL server relational database. It supports creation of multiple models in the same
environment. It stores data in tables which can be accessed and retrieved by defining and
manipulating codes, which is connected to a development platform.

Adobe Photoshop CS5. It is really Photoshop 12. It is used to design and create
graphical interfaces and give more life to the system. This creates and adds more interests to the
system.

7. Similarity With Any Previous Project

In developing the project, the proponents conducted library and internet research
than can help them during development period. The following are the previous studies which
