Christmas at Terminal City Club
The holidays are a magical time at Terminal City Club! Our elegant and distinctive holiday décor, festive
menus, and traditional Christmas buffets make us Vancouver s first choice for seasonal entertaining. From
intimate receptions in private banquet rooms to grand parties in the club s ballroom, our customizable
menus make events both large and small a festive celebration.

A traditional favourite, the club s Christmas dinner buffets, featuring live music and dancing, take place in our
Holiday Ballroom beginning on Wednesday, December 1st and run Wednesday through Saturday evening
until December 22nd. Our famously convivial Christmas lunch buffets are held in the Holiday Ballroom
Wednesdays and Fridays at lunchtime throughout December, beginning on December 3rd and ending on
December 22nd. We are pleased to supply holiday centerpieces in both the Holiday Ballroom and private
function rooms.

The Hotel at Terminal City Club is a 60-room boutique hotel managed by Terminal City Club. All guest rooms
and suites are equipped with flat screen televisions, in-room safety deposit boxes, compact refrigerators,
microwaves, and coffee makers.

Special rates are provided for guests attending Christmas parties at the Club and hotel guests enjoy exclusive
privileges at Terminal City Club during their stay, including use of the fitness centre. Please see more about

Beverage Service
Terminal City Club promotes responsible beverage service in all of its facilities. To ensure the
enjoyment and safety of all our guests, we reserve the right to limit and refuse service. Our house
policy allows for the service refusal of double shots and shooters for all events. We are licensed to
serve alcohol until 12 am daily.

Host Bar Service


We are pleased to offer host bar service in which the price of wine and spirits reflects BC liquor store
prices plus a modest corkage fee ($10 for members for bottles under $50). A selection of premium brands is
standard on all bars unless otherwise requested by the host.
Bartenders and Wine Stewards are provided at a rate of $150 per steward per event.

As per provincial regulations, alcoholic beverages brought onto the premises must be ordered in conjunction with
Terminal City Club s liquor license. All charges are subject to 15% service charge and applicable taxes.
Event Wine List
These wines have been hand-selected by the Club Sommelier for parties of 12 people or more.
Prices are inclusive of member corkage at $10 per bottle/$15 per bottle for bottles over $50.
Non-members add corkage of $6 per bottle.
In order to ensure availability, wine requests are required a minimum of 14 days prior to the date of your event.

Catering Policies
Dress Code: All guests in the Club, including private banquet rooms, must adhere to the Club s dress code. It is
the sole responsibility of the client booking the function space to ensure that guests attending their event have
been properly notified. Enforcement of Club rules is at the discretion of Management of Terminal City Club.

Weekdays: Business casual

Private functions attending Buffet in the Metropolitan Ballroom must adhere to the Dining Room Dress Code
for entrance.

Business casual includes tailored pants and turtleneck or collared shirts.

No denim or athletic shoes are permitted Monday to Friday.

Cellular Phones: The use of cellular phones, PDAs, laptop computers and other peripherals is limited to the
interior of contracted function space. The use of these devices in common areas of the Club is restricted to the
telephone rooms provided on each floor.

Menu Preparation: Our team requires that your menu, including wine choices, be finalized two weeks prior to
your event. Menu changes made less than two weeks prior to the event may result in additional charges. At
that time you will receive a copy of your contract on which you may make any necessary changes before
returning to us signed, confirming the details of your event.

All food and beverage services will be provided by Terminal City Club. Due to health regulations, food may not
be removed from Club premises.

Wine Selection: Wine choices are subject to availability from the Liquor Control Board. The Club reserves the
right to make appropriate substitutions, with notice, for wines that are unavailable at the time of the request.

Our price policy regarding alcohol is one of the compelling reasons why members and clients choose our
facility. In accordance with our liquor license, all beer, wine and alcohol must be purchased by Terminal City
Club the Club in order to be served on the premise.

Service Charges and Taxes: A 15% Service Charge will be added to all food and beverage charges.

Applicable taxes (12% HST) will be added to the event bill.

Non-Members & Affiliates: Non members are required to prepay the estimated costs of the event and must
have a valid credit card on file.

Affiliate members must have a current letter on introduction (within 1 month) and a current credit card
number on file. Events of more than 1000.00 will be required to pre pay 50 % of the estimated cost. Affiliated
members from outside of Canada will be required to pre pay 100 % of the estimated cost.
Catering Policies
Guarantees & Cancellations: Our catering department requires the exact number of banquet guests attending
your event 72 hours prior to the function. It is the sole responsibility of the client to provide this guarantee to
our catering office during normal business hours (8:30 am to 5:00 pm Monday to Friday.) This confirmed
number constitutes the guarantee. Guarantees for Saturday, Sunday and Monday are required on the
preceding Thursday. If less than the confirmed number of guests attends the function, the original guarantee
will be assessed. Terminal City Club will set an additional 5% over the guarantee where possible. If no guarantee
is given, the expected number of people listed on the contract will be considered your guarantee. Your final bill
will reflect your final guarantee or actual number of guests in attendance, whichever is greater.

Please note that your event booking is not considered firm until a deposit and signed contract has been
received.

Performance of the agreement is contingent upon the ability of the Club to complete the same and is subject
to labour disputes or strikes, accidents, restriction upon travel, transportation, food, beverage or supplies and
other causes whether enumerated herein or not, beyond the control of management preventing or interfering
with performance. In no event shall the Club be liable for loss of profit or for other similar or dissimilar collateral
or consequential damages based on breach of contract, warranty, or otherwise.

Deposit: In order to confirm your booking, a deposit of $50 per anticipated guest (payable by cheque or credit
card) will be due on or before October 22nd.

Assignment of Function Rooms: The Club reserves the right to reassign a group to a more suitable room, with
notification, if attendance drops or increases.

Signs and Banners: No signs are allowed on the exterior of the building or lobby areas without approval from
Club Management. Printed signs for function rooms will be free standing or on an easel. The Club will assist in
the placing signs or banners, for which a fee may be charged.

SOCAN Fee: The Society of Composers, Authors and Musical Publishers of Canada assesses a tariff for the
performance of live and recorded music. Functions with recorded or live music are subject to this fee, which
will be collected by Terminal City Club at the time of billing and paid to SOCAN (prices are subject to HST).
