Introduction

A hotel is an establishment that provides paid lodging on a short-term basis. The provision of
basic accommodation, in times past, consisting only of a room with a bed, a cupboard, a small table
and a washstand has largely been replaced by rooms with modern facilities, including en-suite
bathrooms and air conditioning or climate control.

The cost and quality of hotels are usually indicative of the range and type of services
available. Due to the enormous increase in tourism worldwide during the last decades of the 20th
century, standards, especially those of smaller establishments, have improved considerably.
Hotels are independently assessed in traditional systems and these rely heavily on the facilities
provided.

Today, most of the Hotels provide goods and services using computer system. It helps to
perform task in an easy way with less time consumed. Some companies are become fully automated
while others strive for the similar setting.

Computer programmers develop things like computer system that the rest of us could use. The
computer programmers tell the users what to do. They make programs that users can easily used or
understand.

The advent of new technology gave rise to easy and hassle free interaction between and among
humans. Whether it is in business, science or whatever task a person takes on the quality and speed of
carrying it out are enhanced with automation at the core of this efficient

Today, many systems have used an automation process like using computer system, due to the
efficient and accuracy. “Hotel Reservation System” is a transaction processing system. In this
system there are more advantages rather than a manual Hotel Reservation.
HOTEL RESERVATION SYSTEM

I. Customer Statement of Requirements (CSR)

a. Problem Statement

This section deals with the problem statement according to the customer. This emphasize the
effects of using manual reservation and how a computerized reservation will be substituted.
With the transition to an information-based society, computers and transactions have
evolved from manual transaction.

As a customer we faced a problem especially time consuming in reservation in front


desk area. Low process of transaction. Confidential records of customer
information. Low of updates of customer for example if they change the date for
how many days they want to stay in a hotel. This is the most common problems in
paper based system.

Based on the research conducted, the proponents found out the problem of this
study is: How will this system help the management and the staff to have an
accurate service at the same time to monitor the records of the customer?

b. Glossary Terms

List of Important terms are as follows:

systems, network devices or machines to function without any manual intervention.

Guest a person who patronizes a hotel, restaurant, etc., for the lodging, food, or entertainment it
provides.

VIP a very important person.

Front Desk/receptionist is used in many hotels for an administrative department where a


receptionist's duties also may include room reservations and assignment, guest registration,
cashier work, credit checks, key control as well as mail and message service.
Lodging is a type of residential accommodation. People who travel and stay away from house
for more than a day need lodging for sleep, rest, food, safety, shelter from cold temperatures or
rain, storage of luggage and access to common household functions.

3. Plan of Work

OBJECTIVE

Our goals and objectives are straightforward and seek to ensure we run a professional, profitable
and ethical company, building relationships with customers and investors, driving business at the
hotels and developing the business as a whole. Market the hotels through recognized and trusted

The guest will pass the registration form of the system if he wants to check-in and the system
will automatically give the vacant room to the guest. This system will help to make their booking
and sales reports and also the manual recording of customer, to keep their records and accounts
would be easier and to retrieve it any time they want.

 Computerized System replaces to the manual reservation system


 Save time wasting hotel employees and guest
 Develop databases which stored guest details when they entered their details
 Create an easy to understand user friendly environment
 The customer can book the rooms through phone calls or in person
The reasons why we proposed this new system are:

 To build relationships with investors, secure hotel management contracts and


successfully manage the hotel investments, underpinning asset values.
 Manage hotels by human resource policies which encourage and reward individual and
unified effort and achievement, provide training and personal development opportunities
and create a working environment in which staff can feel a real scene of job involve.
 The clients can make reservations, enquiries and cancellations via phone.

HOW THE SYSTEM WORKS

 As the database development team, we will be creating a database which will have a two
actor system. There will be the following actors: customer, employee, and. Each will
have a varied level of access to the details of the hotel and reservations made at the hotel.
The customer will provide biographical information which will be entered in and
alterable by any of the two actors. The main business process focused around the
database will be creating reservations for the hotel. After the employee submits the
customer’s preferences a query will be done to the database to find a suitable
accommodation. As a secondary process we will allow modification of data states by the
Administrator (i.e. change which floors are smoking/non-smoking).

 The problem of slow paper filing systems will be solved with merely accessing the
database containing the customer and room entities rather than referencing multiple
physical filing systems. The process of querying the hotel for a reservation shall need to
be rather timely (less than 20 seconds) to facilitate speedy transactions between the
employee and the customer. There are no necessary time constraints on the administrator-
specific tasks though integrity of the reservation system will have to remain intact.We
will assume that the customer knows what his/her preferences are and he/she has all of
their biographical information available for entry. The majority of stored information will
be mandatory (i.e. we cannot have null for first and last names).
REQUIREMENT ANALYSIS

Functional Requirements

 Staffs able to edit customers booking information (updating check in, check out, room
preferences, bed preferences and also cancelling reservation).
 Customers can send feedback or call the company for booking purposes.
 Customers can check for latest promotion or deal.
 System should store the data
 System should show the available rooms to the guest
 System should accept the users registration if all the fields are entered correctly.

Non-Functional Requirements

 The system must be able to handle multiple transactions a time.


 The system must provide customers 24*7 hours booking service.
 Customers need to cancel the booking reservation before 24 hrs. otherwise their credit
card will be charged for one day
 The system will be secured from the outside attacks and unauthorized access. The system
should be protected from all other outside premises.

Use Case Diagram

It is also called behavioral UML diagram. It gives a graphic over-view of the actors involved in a
system directly. It shows how different functions needed by the actors how they are interacted.

Phone number, the Gender, Address, Nationality, Occupation, and the entry date of the customer
and after that it views all the information of the registered guest before lodging in.

Room type, Room number, Room Charge, No. of Extra, No. of Adult. And it can also register
new rooms that are not inputted on the system.

IMPLEMENTATION

System implementation is the most important steps in case of finalizing the system. We need to
justify some basic requirement (software & hardware) so that the system will work without
having obligation and customers dissatisfactions

Windows (XP, 7, 8, 8.1) or Mac OSX (Tiger, Leopard, Snow Leopard, Lion, Yosemite).

Web Development System: Visual Studio 2010 or later, Adobe Dreamweaver, Notepad, and
Notepad++.

Others: .NET FRAMEWORK

Hardware Requirement

RAM: Minimum 1GB or higher.


HDD: Minimum 50 GB.

Processor: Intel Pentium 4 or AMD.
