University of Arkansas at Little Rock (UALR) Information Technology (IT) Services Building Premise Wiring - Read Me

Read Me - The information below is intended to help you understand and get the most out of this workbook.
Purpose: This workbook is an aid to promote more efficient premise wiring planning, installation and labeling. It can save you TIME and MONEY!

Note
1 Copies of this Excel workbook can be downloaded from the University of Arkansas at Little Rock (UALR) Information Technology Services website.
2 The URL may change. It can often be found by typing in "horizontal link" in our UALR web site search box.
3 This workbook template is meant to support vendors, contractors and staff doing cabling work on UALR.
4 Users of this tool should also download and read the University of Arkansas at Little Rock (UALR) Infrastructure Cabling and Wiring Standards
5 The URL may change. It can often be found by typing in the words "cabling standard" in the UALR web site search box.
6 User should have a basic knowledge of Excel and/or workbooks and spreadsheets to make the best use this tool.
7 Basic skills include navigation, copying, resizing columns, hiding and unhiding, formatting cells, setting print areas and saving files.
8 Note there are normally 5 named tabs, representing 5 worksheets in this workbook with useful information for you to review!
9 The 5 named tabs are: InputData, ReadMe, FieldDescriptions, 606A_Reference, and Contacts. Review them for content.
10 The InputData tab is the primary input area. Fill in the blue and yellow highlighted fields to automatically generate the Horizontal Link ID.
11 Note how highlighting color is used: Blue for the Telecommunications Room inputs; Yellow for User spaces; Purple for test results.
12 It is recommended you save and work with a copy of this workbook using the building ID in the workbook name.
13 Protection for this workbook is turned on, but it is not password protected so you can (and must) toggle protection on and off.
14 Protection is to preserve the formatting, formulas and structure to make it easier for data entry.
15 The InputData rows give you a template only. You will need to UNPROTECT the workbook and copy additional rows. Create as many as you need.
16 When you copy, select the entire row and paste the entire row. This will preserve formatting AND ensure you've copied any hidden columns.
17 WHEN you UNPROTECT the workbook, we recommend making whatever changes you intend, then immediately restore the protection.
18 Vendors/contractors can make the best use of this spreadsheet by using it as a planning tool by completing and getting it approved prior to ANY physical cabling.
19 The InputData worksheet is meant to be filled in in two parts, 1) pre-installation planning, and 2) post-installation testing/labeling for certification.
20 Pre-installation planning allows for filling in the fields with user outlet data from drawings, and assigning a patch panel/port to create the link ID.
21 Pre-installation planning affords a pre-installation review, produces a specific rack layout plan to follow, and generates unique link identification for labeling.
22 Various labeler models have software that can print labels from data in spreadsheets. Labels can also be generated with a Merge program.
23 Vendors/contractors SHALL turn in a pre-installation worksheet for UALR approval prior to premise cable installation and labeling.
24 Once premise cabling is installed --- Use the InputData worksheet to guide testing/labeling and to enter horizontal link test results and notes.
25 Please fill in as much of each record as you can. Light grey fields are optional; Columns O, S, T and U are for UALR lifecycle management.
26 After installation, labeling and testing is done, email the completed Excel workbook to the UALR Information Technology Services, Inside Plant representative.
27 The workbook is a DELIVERABLE item 1) prior to cable installation, and 2) after testing. See Notes 23 and 26. It forms UALR's Inside Plant records.
28 Suggestions for improving this workbook and the information in it are encouraged. Please contact Thomas Nelson, 916-3010, Information Technology Services.
29 Completed worksheets, comments, and other correspondence may be emailed to tpnelson@ualr.edu.

ReadMe was last updated Dec 1, 2011 by Thomas Nelson. Changes include clarification about use of the tool, mandatory submission and UALR approval.

University of Arkansas at Little Rock (UALR) Building Premise Wiring Worksheet - Descriptions of Fields

Column Field Identifier Field Notes

A HL_ID The horizontal link identifier, HL_ID field is automatically created for you, based upon data entered in Columns
D, F, G, and H (from the telecommunications room), and from Columns I, J, K and L (from the user's area). This
field can be used to create two cable labels, one for each end of the premise wiring, to be attached within 12"
of the end of the cable. NOTE: Data in blue fields (Columns D, F, G and H) is collected in the
Telecommunications room and data in yellow fields (Columns I, J, K and L) is collected from the user area.
They combine to form the HL_ID. NOTE: Make labels READABLE to the end user (font size, location, etc.).

B Site_ID The Site Identifier, Site_ID, identifies the site where the UALR-managed building is located. This is usually
UALR-MAIN, but could be CLINTON, UASYS, FAYETTEVILLE, BENTON, WALMART, or LAW. Enter one time, then
copy to other records after they've been entered.
C Bldg_ID Building Identifier. Enter the short name of the building, i.e. STABLER, ROSS, EIT, ETAS, etc.
D TS_ID Telecommunications Space Identifier. This is usually a Telecommunications Room (TR), but can be any space
where there is a consolidation of telecommunications equipment or cabling, i.e. maintenance holes, pulls, etc.

E CC_Type Cross Connect Type. This ranges from S-100 and 66-blocks phone cross connects, patch panels, and fiber
optic light interface units (LIUs) adapters. It is any hardware item where wiring is terminated on one side, and
connected to something else on the other side.
F CC_Loc Cross Connect Location, consisting of a letter-number combination, (R1, F03). Use the locational naming
convention. The two examples given show the location of the cross connects are in Rack 1, and in rack F03.
NOTE the CC_Loc will be determined by type and location within a space using UALR conventions.
G CC_ID Cross Connect Identifier, consisting of a alphanumeric (used with the cross connect location) to specifically
identify the location of phone blocks, patch panels, adapters, equipment in a rack, on a wall or shelf, i.e.
R1.13, F03.5. NOTE: In data racks and on shelfs, the locational naming convention is BOTTOM going UP, so
R1.1 is the bottom u-slot in the rack, with R1.45 being the 45th u-position at the top of a typical 7' floor rack.
The two examples given show the cross connects are in Rack 1, slot 13, and rack F03 slot 5. Phone blocks are
identified like user outlets, numbering left-to-right, and lettering top to bottom where mounted in groups (1A,
1B, 2A...). Subassemblies (LIU adapters, blade servers) are lettered left to right, i.e. R1.42A, R1.42B, ....

H CC_Port Cross Connect Port, specified by 1-2 numerals (1,2, 24), left to right or bottom to top.
I Room_ID Room Identifier. Specifies the user-side room.
J Loc_Type Location Type, specified by letter(s) (F, C, P, ) Refers to the type of location a MUTOA or outlet is installed in,
i.e. F-Floor, C-Ceiling, P-Pedestal, S-Shelf, etc. FOR each Wireless Access Point (WAP), add the suffix "w". For
example, a single drop for a WAP in Room 206 would have the location type "Cw", and its HLID ending would
look like .../206-Cw1A.

K Outlet_ID Outlet Identifier, usually specified by a number (1, 2, 3...). Includes wall plates, Multi-User Terminal Outlet
Adapter (MUTOA) with single our multipe jacks. Outlets are always a number, and the jacks are capital letters
at the user end. NOTE: This is one way to distinguish outlet-jack locations from cross-connect-port identifiers.

L Jack_ID Jack Identifier, specified by a capital letter (A, B, C ).

M Outlet_Type Specifies the type of MUTOA or outlet (single jack, duplex outlet, quad, etc )
N Outlet_Location_Notes Place to record any non-standard conditions affecting the installation, use or maintenance of the outlet.
O HL_Notes Place to record any non-standard conditions affecting the installation, path, use or maintenance of the link.
P Cable_Type Specifies the type of cable, (Cat 6A F/UTP, Cat 5e plenum, etc.)
Q Cable_Length Category 6A certifcation results would go here for cable length.
R Test_Results Category 6A signal and loss data is entered here.
S HL_Status Current Horizontal Link status is entered here (Active, Unused, etc.)
T HL_Service_Record Horizontal link service record. Installer/testers: Enter date link passed certification test.
U User Identifies current or planned user of the jack. A user identifier can also be a named device, such as a printer
or server.

Field Descriptions revised 1 Dec 2011 by Thomas Nelson. Changes reflect addition of field CC-Loc, bottom-up numbering for CC_ID, and other helpful notes.
