Gold Supplier International Edition is the premium level of membership on Alibaba.com that

Chapter 2: Getting Started on Alibaba.com

2.1 Sign in to My Alibaba

2.1.1 What is My Alibaba


My Alibaba is a private communication and trade management tool provided to all members
where you can display new products, send and receive inquiries from other members, analyze
your online performance and more. The main sections of My Alibaba and their respective
functions are:

Message Center: Communication management tool (Chapter 4 Section 4.3)


Selling Tools: Display Products and post Selling Leads (Chapter 3)
Company Profile: Company introduction (Chapter 2 Section 2.2)
Biz Trends: Analyze your online performance in real-time. (Chapter 5)

To sign in, click on My Alibaba at the top right corner Alibaba.coms homepage.

On the next screen, enter your Email Address/Member ID and Password and click Sign In


Chapter 2: Getting Started on Alibaba.com

2.1.2 Changing your Password


If you would like to change your password, go to My Alibaba > Account Settings > Change
Password. You will be asked to answer your security question if you have one. On the next
page, enter your new password twice and press Submit when completed.

Note: If you have forgotten the answer to your security question, follow the on-screen instructions
to reset your question. If you do not have a security question, you will need to set one first.

2.2 Create a Company Profile


Your Company Profile appears on your Premium Company Website and tells potential
customers your company name, business type, what kind of products/services you offer, and
other background information. Buyers who visit your Alibaba.com website are evaluating you
as a potential trading partner, so your Company Profile should be complete, accurate and
positively reflect the nature of your company.

To create your Company Profile, go to My Alibaba and click on the Company Profile tab. On
the Edit Company Profile page, simply fill out the form. Please note that any fields marked
with an asterisk (*) are required, and fields with the TrustPass logo have been verified and
cannot be modified further.

2.2.1 Tips on Company Profile:


It is possible to choose more than one Business Type according to your company
situation.
The more information you provide, the better image you will be able to project to
potential buyers.
Your Detailed Company Introduction is the most important part of your Company Profile
and should include the following information:

1) Company name, year established, main products/services, such as:

established in 2000 and we have many years of history in the wood flooring industry. Located
near Shanghai, we are easily accessible by water, land and air transportation.

2.2.2 Upload Certificates
As a Gold Supplier Member, you can put up to 8 certificates/awards on your Company Profile to
show your company strengths and increase buyer confidence. To do so, stay on the Company
Profile tab in My Alibaba and click on Gold Supplier Status on the left-hand navigation.
Then, click on Add New Certificates at the bottom of the Gold Supplier Status page.

Next, fill in the following form:

Understanding Buyer Search Behavior


In order to maximize your exposure to buyers, its important to understand the way that buyers
search for suppliers on Alibaba.com:

Buyers on Alibaba.com can either browse products by Category or enter Keyword(s) into
the Alibaba.com search bar to find the products they are looking for. They can also refine
their searches by using the Products, Selling Leads or Suppliers tabs and later filtering their
search results by Categories, Region, Business Type, Main Export Markets and Contract
Manufacturing.

3.1 Display New Products


The first step to being found by buyers on Alibaba.com is to display your products online.
The more products you display, the more buyers will see and contact you. Your Gold Supplier
Membership gives you unlimited product display with first-level priority listing, so make
sure you list as many products as possible to maximize your business opportunities. Heres
how:

2) Select the tab Selling Tools to Display a New Product.
3) Enter your product information, especially fill in all required fields with an asterisk (*).
4) Click on Submit.

3.1.2 Manage Products


To edit or review your products at any time, go to My Alibaba > Selling Tools > Manage
Products. There, you can see the status of your product listings and click on Edit to make any
changes necessary.

3.1.3 Types of Product Statuses:


On Display: Products that have been approved and successfully published.
Not On Display: Products that have been approved but are not currently on display.
Editing Required: Products that have not been approved or successfully published. You
will need to edit them appropriately so that they can be approved.
Approval Pending: Products that are awaiting approval by Alibaba.com staff, which usually
takes 24 hours.

3.2 Advanced Tips for Displaying Products

3.2.1 Product Names

Your Product Name is shown to buyers in search results, making it extremely important to
choose a name that is clear, precise, descriptive, and contains only standard terms.
Do not enter the model number or your company name. Where possible, try including
industry standards, certificates acquired, product series, brand, abbreviation, full name,
etc. into the product name. Statistics show that effective product names with accurate and
relevant keyword(s) have a 15% higher click-through rate than poorly named products on
Alibaba.com.

3.2.2 Product Keywords


A Product Keyword is the word or phrase that buyers will use to find your product, company or
trade lead in our search engine. Over 80% of Alibaba.com members use our search engine to
find what they need, so choosing the most relevant keywords is essential to get higher ranking
in buyer search results and help the right buyers find your product.

As a Gold Supplier, you are able to choose three (3) keywords for every product displayed.
Dont be tempted to choosing irrelevant keywords just to add more keywords though, since
irrelevant keywords can lead to irrelevant search results and can look unprofessional to your
potential buyers.

How to choose the best keywords:


Use synonyms and related product names
Use proper spelling
Avoid special characters and symbols
Keep descriptive terms together with the product names

More Tips on Choosing Keywords:

You can also get keyword suggestions from Alibaba.coms homepage by typing a
keyword into the Search Bar.
Do not break down a multiple keywords into fragments (i.e. bike bell -> bike, bell).
Remember that keywords are case insensitive (i.e. MP3 is the same as mp3).
Avoid using common model numbers as keywords, such as A001.
Keywords generally only need to be set once in their singular and plural form. However,
there are special cases such as battery and batteries where these keywords would be
recognized individually by the system. In these cases, we recommend that you include
both keywords (battery and batteries) for your product.

3.2.3 Product Photos


Most buyers on Alibaba.com prefer product listings with photos, and will only make inquiries
if there is a photo, as indicated by our research findings:

format, and have an English file name. Photos should also be professional and high-quality.

vivid. Also, there should be a strong contrast between the actual product and the background

Photo Watermarks
To protect your pictures from being used by other people, you can add a watermark to your

3.2.4 Product Attributes


Product Attributes describe your products and can help them stand out more to potential
buyers. In addition to the standard attributes, you can also add your own product attributes to
provide a better description.

3.2.5 Brief Description
Your Brief Description will be shown with your product listing on search result pages, so make
sure it is well written in order to attract the attention of buyers. There is a limit of 5 lines and
84 characters, so try to be concise yet informative. Please do not enter any HTML coding or
contact details into your Brief Description.

3.2.6 Detailed Product Information


The Detailed Product Information field is where you can tell potential buyers more about your
products in full. Aside from including the basics such as product name and functionalities, try
to include information such as payment terms, materials, sizes, and packing options. Here are
some other ideas on what to include:

3.3 Product Tools

3.3.1 Product Groups


Product Groups make it easy for buyers to find exactly what theyre looking for on your
Alibaba.com storefront by organizing your products into groups. You can create as many
Product Groups as youd like, but we recommend that you have a maximum of 10 on your site
to keep them from confusing buyers.

To create Product Groups, go to Selling Tools > Manage Product Groups and then Add a
New Product Group on the upper right corner.

Buyers will be able to see the Product Groups on your website like this:

Modifying Product Groups
To rename or remove any of your Product Groups, go to My Alibaba > Selling Tools > Manage
Product Groups. There, you can select a Product Group to Edit or Delete.

To change the order of your Product Groups, select the Re-sort Product Group tab and then
drag and drop your Product Groups into your preferred order.

3.3.2 Product Showcase


Promoting key products in your Product Showcase gets you higher search rankings and up to
8x more exposure to buyers. Add products now by following these easy steps:

From My Alibaba, go to Selling Tools and select Manage Product Showcase from the
left-hand navigation. Next, click Add Products now!

A pop-up window will appear for you to search through your product assortment
and add products into your Product Showcase. If you see a blank screen, click on the
magnifying glass icon to show the search bar.

Select the products youd like to add, and then click Close.

Re-Arrange/Sort Product Showcase


To re-arrange the products in your Product Showcase, go to My Alibaba > Selling Tools >
Manage Product Showcase. There, you can drag and drop your products into your preferred
order, and then click Save to confirm your updates.

3.4 Selling Leads


A Selling Lead is essentially an online invitation to buyers to send you a quotation, which
contains product information, availability, timelines and more. Selling Leads are sorted by the
date they are posted and are a very interactive way of selling your products. Unlike product
listings that never expire, Selling Leads are only valid for certain period of time (anywhere from
2 - 12 months).

3.4.1 Post Selling Leads


To post a new Selling Lead, go to My Alibaba > Selling Tools > Post New Selling Leads.

Complete the form with all relevant information, including an attractive Subject line, relevant
keywords and professional photos to attract more buyers.

You can also choose the selling leads type and how long youd like your Selling Lead to be valid
for (anywhere from 2-12 months).
When you are finished filling in the form, click Submit to post your Selling Lead.

Besides waiting for buyers to contact you, you can also search for and contact buyers
proactively on Alibaba.com to develop even more potential trade opportunities. There are
three major ways to search for buyers:

4.1. How to search for buyers


4.1.1 By Category
From Alibaba.coms homepage, go to the Sell channel (http://importer.alibaba.com/), and
then browse Buying Leads by Category, such as Apparel, Chemicals, Energy and more. You can
then filter the results to find the Buying Leads most relevant to what you are looking for.

4.1.2 By Keyword
From Alibaba.coms homepage, click on the Buyers tab, where you can enter keyword(s)
into the search bar to find the latest Buying Leads. You can then filter the search results by
Categories, Region, Date Created and Purchase Type.

4.1.3 By Buying Leads


On the Sell channel of Alibaba.coms homepage, you can find the latest Buying Leads posted
on the upper right hand corner of the page.

4.2 Send Quotations


You can contact buyers directly from the Buying Leads search result pages, either by instant
messenger if they are logged into TradeManager (You can check more details about
TradeManager at Chapter 6), Alibaba.coms built-in instant messenger tool, or by clicking
Contact Now to send them a quotation by email.

4.2.1 Advanced Tips for Sending Quotations
A buyer receives hundreds of quotations every day, so its extremely important to make sure
that your quotation has an eye-catching subject line to attract the attention of buyers. Here
are some tips on how to send a professional quotation:

1) Attractive subject line:


Use a clear and straightforward subject line to help your quotation stand out from
competitors.

Make sure you send a complete quotation but keep it concise. Your quotation should
include:
A brief introduction of your companys productivity
Simple trading terms including payment, delivery and your price range
An invitation for further correspondence
Direct contact details for the buyers reference
Compare these two quotations:

Quotation A is an example of a complete and concise quotation containing product


information and payment details, whereas Quotation B is a simple and incomplete quotation.
Only an email address is included, and buyers are not given enough information about the
quotation.

3) Photos attached:
You can add up to three (3) photos per quotation to make your message stand out. Try
to attach photos taken from different angles to give buyers a clearer picture of your
products. Learn more about product photos in Section 3.2.3.

4.3. Message Center


The Message Center (http://us.my.alibaba.com/mcadmin/inbox/inboxList.htm) in My Alibaba
is a communication management tool that gives you an easy and efficient way to track the
messages you send and receive from other Alibaba.com members. With it, you can:
Manage your Alibaba.com inquiries and quotations conveniently
Store all of your messages
Filter spam

Your Message Center Inbox can hold unlimited number of messages. Messages from the last
90 days are listed in your Inbox, while all earlier messages are stored chronologically and can
be accessed by using the drop-down menu on the tool-bar. Messages older than two years will
be deleted automatically.

Message Folders: Create up to 19 message folders to help you sort message


and find them more easily

Click Add New Folder under the Move to icon to create a new folder

To open a message, simply click on the subject or name of the sender. From there, you will see
the Message Details page.
To reply, click on the Reply button and then write your message into the message field. Try
to use a unique and straightforward subject line, plus a detailed and descriptive message to
make sure you are positioned as a professional company.

To give buyers an impression of your products, you can also attach a photo by clicking on the
Attach Photo button. When you finish, click Preview to see how your message will look, or
click Send to send your reply.

The messages you have sent to your customers can be found in the Sent Box.

To find a specific message, you can filter by the receiver, subject and date that the message
was sent. Simply click on the drop-down menus from the top.

your online performance, better understand buyers behavior and maximize your return-on-
investment. This program gives you valuable feedback on your Customer Activity as well as
your personal User Status for the last six months.

Detailed graphs, development trends, industry averages and personalized advice all help you
attract more buyers than ever before. Biz Trends is updated weekly, so youll always have the
most up-to-date information at hand.

To access Biz Trends, click on the Biz Trends tab inside of My Alibaba

In this section, you will find information about your:
Customer Views:
The number of times your Products and Selling Leads have been viewed by customers in
search results and category listings within the last week.
Customer Clicks:
The number of times your products and company information have been clicked in
search results and category listings within the last week.
Inquiries:
The number of messages you have received from buyers regarding your products and
Selling Leads within the last week.

6.1 Download and Install TradeManager
TradeManager is free for all Alibaba.com members and can be downloaded from
http://trademanager.alibaba.com or from Alibaba.coms homepage. To do so, click on My
Alibaba, then Download TradeManager from the upper right-hand corner of the page. When
you reach the TradeManager page (http://trademanager.alibaba.com), click the Download
Free button to start downloading the program.

You will see a pop-up window that looks like this:

Select Run to begin the installation process, or save the file to your computer if you would like
to install TradeManager later. Be sure to remember where you saved the file so you can find it
easily (the Desktop might be a good place).

Before installing TradeManager, please make sure that your computer meets the following

Once the file has completely downloaded, double-click the installation file to start installing
TradeManager onto your computer. Click Agree only after you have read and agree to the terms
and conditions, and then follow the on-screen instructions to complete the installation.

To sign in to TradeManager, use the same Member ID and Password that you would use to sign
into My Alibaba.

If you would like TradeManager to remember your Member ID and Password, check the boxes
Remember Me and Save Password. You can also check the box for Auto Sign in if you would
like TradeManager to be automatically started every time you turn on your computer. The
more often you are signed into TradeManager, the more easily buyers will be able to find and
contact you.

6.1.2 Add Contacts
Contacts are people who you have added to your Contact List. When you start TradeManager
for the first time, your Contact List will be empty. To find buyers and suppliers to add to your
Contact List, select the Contacts menu, click Search Alibaba.com, enter a Product or Company

Name into the search box and then press the Search button.
A new window of search results will open. If you see someone
who youd like to add, click the Add Contact icon next to the
Contact Now button to add the user to your contact list.

Another way to add someone to your contact list is to click the Add button while you are
chatting in the TradeManager chat window. Alternatively, if you already know the Member ID
of the person youd like to add as a Contact, go to Add a Contact from the Contacts menu.

What is Trade Alert?


Trade Alert is a FREE service that sends you customized updates on the latest products, buyer
& supplier information direct to your mail box.

There are the three types of information available for subscription: Products, Companies, and
Buying Leads.

7.1 Subscribe to Trade Alert


To subscribe to Trade Alert, go to My Alibaba > Account Settings > Subscriptions >
Trade Alert.

Next, enter your Product Keywords of choice into the form, which are the terms that will be
searched in Alibaba.com to customize your Trade Alert content:

results. Simply enter your email address in the email box, click Subscribe and then follow the

7.2.1 Manage Keywords
Go to My Alibaba > Account Settings > Subscriptions > Trade Alert.
To add new keywords in Trade Alert, click Add new Keyword
To edit Product Keywords, click on Edit.
To delete a keyword from Trade Alert, click Delete

7.2.2 Manage Delivery Options


By default, your Trade Alert email frequency is daily, email format is HTML, and your Trade
Alerts are delivered to the email address that you registered with on Alibaba.com.

You can change your Trade Alert email delivery frequency between daily and weekly and your
email format between HTML and text. You can also specify an email address other than your
registered email address for receiving Trade Alerts.

Note: Trade Alert will be sent to your Alibaba.com registered email address.

To change your delivery options:

Spam, also known as unsolicited bulk email (UBE), are unwanted e-mail messages usually
containing commercial content that is sent in large quantities to an indiscriminate set of
recipients. In order to avoid receiving spam on your Alibaba.com account, follow these tips:

8.1.1 Automatic Anti-Spam Tool


The anti-spam tool inside of My Alibaba automatically puts spam emails directly into the Junk
Folder. However, if you would like to double check that the emails were indeed spam, click on
the Junk Folder icon to review the emails inside.

8.1.2 Report Junk to Alibaba.com


If you receive a spam email in your Inbox, click the box next to the email and then Report Junk
to report the sender to Alibaba.com.

The Block List inside of My Alibaba > Contacts lets you filter out unwanted messages by
blocking messages by Member ID, email address or country. Please note: Once you block

Please do NOT reply to these messages.

Two additional security measures on Alibaba.com to protect your account are the Sign-in Seal
and Security Control.

8.3.1 Sign-in Seal


Your Sign-in Seal is a unique message or image that can help protect your account from
phishing websites. Phishing (fraudulent) websites are designed to steal your password or
personal information.

After creating a Sign-in Seal for your computer, you can be sure that youre on the legitimate
Alibaba.com site by checking the seal on your computer. If your Sign-In Seal is not displayed
on your Alibaba.com sign-in page, you may be looking at a fake Alibaba.com site.

Your Sign-in Seal is only saved on the computer that you used to create it. If you use more
than one computer or browser to access Alibaba.com, you will need to create a Sign-in Seal
for each computer.

Note: Never create a Sign-in Seal on a public computer.

On the sign-in page, click Prevent Password Theft at the top right corner of the box.
Click Create a Text Seal or Upload an Image.

Server problems may arise when there is a network jam or server reboot. Sometimes it can be
caused by a browser problem on your computer, especially if you are using a browser other

9.2.1 Products Not Approved
All postings to Alibaba.com need to be checked for content and accuracy and the approval
process can take up to 24 hours. If your products are not approved, please check that they
are consistent with the Alibaba.com Product Listing Policy (http://news.alibaba.com/article/
detail/help/100105711-1-product-restrictions-prohibitions.html) or check the Return Reason
in My Alibaba.

9.2.2 Products Posted But Unavailable
) Approval Pending: This status means that your products have been posted but have yet
to be approved by Alibaba.com staff. The approval process usually takes 24 hours.

2) Not on Display: This status means that your products have been approved but are not yet
displayed.

To display these products:


Sign into My Alibaba
Click Manage Products in the Selling Tools section
Select the product in the On Display section and click Change display to display it.

Your product information will be updated within 24 hours.

9.2.3 Restore Deleted Products


To restore deleted products:
Sign in to My Alibaba
Click Trash in the Selling Tools section
Select the product you need to restore
Click Restore

Upon approval, your products will be published online within 24 hours. Please note: It is only
possible to restore products that are displayed after August 2007. For products that were
displayed before this date, they are no longer in our database and cannot be restored.

The maximum size of product pictures is 200KB. If you have a picture that is larger than this,

9.3.1 Cannot sign in
If you are using the same Member ID and password that you use to sign into Alibaba.com, but
still cannot sign into TradeManager, please check:
) Is your computer successfully connected to the Internet?
2) Are your proxy settings correct? Find out by following these steps:
Open the Alibaba site.
Click Internet Options.
Click Connection.
Click LAN settings.

If Lan Settings is ticked, with address and port settings, it means that your browser is using the
proxy. Please take the following actions to apply the same settings to TradeManager:
Click Preferences in the File option.
Choose Use Proxies after clicking Connection.
Tick Use Http Proxies (Or tick Default Browser Setting).
Enter the appropriate Server and Port.

3) Does your computer firewall allow access to TradeManager?

9.3.2 Downloaded TradeManager but Unable to Use It


The possible reasons for this problem could be:
TradeManager was not successfully installed onto your computer
Try turning off your anti-virus program and re-installing TradeManager.
Your browser settings were changed without permission when visiting another website.

If you are using an Internet Explorer browser, please follow the steps below:
Click Tools on the browser menu bar and select Internet Options
Click Delete Cookies and then Delete Files
Click the Security tag in the Security section
Select Default Level to restore the settings
