Fortnightly report of internship in Colony Textile Mills

First week
Marketing department
Colony Mills is a well known organization in Pakistan for yarn production it is establish
in 1948 just after the independence. It is the 1st Mill of Pakistan that have 5 units under
one roof .Colony Mill’s products are famous in local market as well as in international
market. It was a great pleasure for me to learn in colony Mills.
I joined colony mills on 7th June 2009 for my internship purpose. I decided to increase my
exposure in every field e.g marketing, sales, MIS, purchase, and finance I decided to
work in every department for at least 1 week. So, I started from marketing department. In
the very first day I met Mr. Asghar Bajwa GM marketing he was also graduate of IMS he
warmly welcome me and briefly give me introduction of marketing department.
Latter on me met Mr. Abbas Mirza marketing manager export, Mr. Saleem Ayyaz
marketing manager deals in local market and other staff members.
Mr. Saleem Ayyaz was my instructor there he was also graduate of IMS. He gave me
exposure of the textile industry, colony’s product lines, local market of textile specially
yarn and the procedures of documentations.
In the beginning I learnt about the local market and documentation and saw different
documents daily use for record keeping and many other purposes. I learnt the procedure
of production of yarn, units used in it and the textile terms and culture. Some important
documents that I have seen and learnt to make them are as follows

I learnt the mode pf payments there e.g.
• Chq
• Pay order
• DD (demand draft)
• TT (telephonic transfer)
• MT (mail transfer)
• LC (letter of credit)
In the whole first week I learnt about the local market, ways of local selling and the
documentation for the local sale.
This department also deals in transportation matter from loading to unloading of the
containers.
Quality matters are also handled here and this department also tries to fix the
problems of customers.
Second week
In the whole second week I learnt about the export process that was very
interesting Mr. Sajid and Mr.Nadeem were my instructors. I learnt about all its
documentation and procedures.
Export procedure was some what different from local sale procedure

There is a shipping magazine Moorad through that they see the shipping companies
secduals and the freights of t he shipping lines the secduals of the vessels and all the
timings etc.
Their export done from four ports of the Pakistan.
• KICT (Karachi international container terminal)
• PICT (Pakistan international container terminal)
• KPT (Karachi port trust)
• QICT (Qasim international container terminal)
This department also deals in quality standards they have their own standards and at
every step their product is tested and maintained it standards.
My activates in marketing department

• I use to make contract


• Make internal office memo
• Setting agent’s commission files
• Making some daily documents
• Set the daily record and check the record from bilty
• Minus the dispatches and plus the new orders in the stock reports
• Check the LC documents e.g. spellings of the beneficiary’s name and the buyer’s
name and all the other documents that whether the invoice no the LC no and the
contract no are correctly mention.
• In free time I use to discuss many things regarding export and textile with Mr.
Abbas e.g. the factors that affect textile sector of Pakistan as well as the world.
Third week
Sales department
I spent the third week of my internship in sales department, where I met Mr. Tahir
Sikhani GM sales. He warmly welcomes me and gave brief introduction of the
department and its activities. He told that the reason of having separate sales and
marketing departments while their work is same is that to divide the workload and the
products and to create individuality. Out of 7 units of Colony Mills sales department
deals in 2 units and rest of the units are under marketing department. Marketing
department deals in both local market and export while sales department only deals in the
local markets particularly the Faisalabad market. Sales department also deals in waste
products and the sales and purchase of the wastes.
Later on I met Miss Nasreen Malik Sales Manager (graduate of IMS). Mr. Zia D.S.M.and
other staff members.
In sales department because of different fields different peoples instruct me. For the sales
of unit 2 and 4 Mr.Khurum told me the procedures, documentations and the mode of
payments. Some documents that they daily use for record keeping and other purposes are
• Contracts
• Stock positions
• Dispatch Order
• Dispatch Plan
• Weight noted
• Daily stock records
• Weekly credit snapshot
The modes of payments they use are as follows
• Post dated chq
• Pay order
• Demand draft
• Advance chq
• LC (some times use).
Later on Mr. Zia told me about the wastes and the sources and processes through which
they get wastes at each step e.g.
• In yarn production process at each step from raw material to end product different
types of wastes are separated from the core product for maintaining the standards
of core product.
• During production and packing of the different counts the small pieces of yarn
left.
• Even some wastes are purchase for making some counts (yarn) that used in the
open end technology.
All the wastes that come from inside the Mill or purchased are recycled and then further
use. Laroche is the separate unit in Colony Mills that deals in the wastes and the
recycling of wastes. Mr. Fahad deals in the purchase of the wastes for Laroche. He told
that they purchase the following wastes.
• Leno cotton
• Tuck-in-cotton
• Unsized cotton
• Sized cotton
Miss Nasreen Malik guided me at each step there was a friendly environment in sales
department.
On last day I thank all the staff members and the GM sales for their kind guidance and
help.
My activities in Sales department
• To see the daily documentation and roughly try to update it
• To see samples of different wastes and try to identify their nature. I got some
samples for my understanding.
• Discuss t he current situation of market and the ways of sales of Colony Mills.
• Discuss the handlings of complaints from the customers and their solutions
• To study the files of purchase of wastes for Laroche.

Fourth week

MIS department
The whole fourth week of my internship I worked in MIS department where I met
Mr. Shahzad general manager MIS department he warmly welcome me and briefly told
me about the department’s activities and he introduced me with the whole staff members.
He told that the following activities are performed by the department
• Entrance of data of sales, marketing and production departments in the main
records
• Maintain the soft wares working there
• Maintenance of the hardware
• To keep the backups on weekly, monthly and yearly bases.
• Control the networking of the whole organization
• Keeping the records of the attendance of the employees of the organization
The most important thing that I saw there was the implementation of the ERP Microsoft
dynamics grade plans. ERP was implementing there but still in process the internal
consultants were customizing the ERP system according to their requirements. To see the
ERP system was a great experience for me and I enjoyed it. During that week a new way
of attendance of the employee was introduced that was from the finger prints and that
was the very good way of attendance and the employee have to give finger prints to the
device in the entrance time and the going time and when ever he will go outside the
organization he have to give fingerprints.
MY activities in the MIS department
• Entrance of the daily attendance in the computers
• Entrance of the leaves of employees in the system.
• Entrance of the weight notes from the different units for record keeping and the
cross check purpose
• Tally the production report and weight notes
• Entrance of the sales invoices
• From dispatch order enter the data into computers to generate invoices.
