ENGINEERING RECORDS GUIDELINES

Responsibility of Engineering Records Focal point/ Document Controller

Focal point of all issues related to Engineering records/ documents (drawings and
reports)
Develop and maintain engineering record database, recording and registering
engineering numbers allocated and actually used in the field. The database shall
include numbers of all existing drawings, equipments, tags, line, cables; project codes
allocated and plants documents number. The database shall include all necessary
details, type, location, date installed, etc.
Responsible to allocate/ assign and issue of Numbers for Drawings, Equipment, Line,
Cable and Tags (including vendor documents).
Responsible to allocate/ assign and issue of Area Codes and Plant/ Unit Codes
Responsible to assign Project codes for new projects
Initiate and follow up As built after successful completion of construction work ensuring
that Master drawings are updated to reflect the latest site changes
Storage and safekeeping of Master Drawings and engineering documents, maintaining
hard and electronic (AutoCAD files) copies
Update engineering numbering database for the actual numbers and drawings used by
a project

Engineering Drawings
These are engineering master drawings produced by and for Daleel Production Station
(DAPECO). Drawings could be produced by engineering consultant/ contractor or vendor/
equipment manufacturer. Master drawings should always represent the current facility
status, as built status, at all time.
Master Drawing
Master drawing is a drawing, which represents the facility as constructed. Master drawing
shall be kept updated whenever a change occurs to the facility. Master drawing should
always be updated and as built after any construction, modification or replacement activity.
Project Drawings
Project drawing is a drawing prepared based on the master drawing for a specific project
reflecting the proposed new facility or modification/ upgrade to existing facility. The project
drawing will have the same master drawing number but in addition a project code is
introduced with the drawing number to distinguish between master and project drawings.
When a project is identified and initiated, copy of the applicable existing master drawing(s)
requested from the drawing controller/ drawing office. Copy of the master drawing(s) shall
then assigned with a specific unique project identification code known as project code. All
project drawings shall clearly indicate the project code. After the implementation of the
project one set of the project drawing is used to prepare mark up of the actual constructed

modification (red line mark up). The red line mark up is then forwarded to project engineer
and drawing controller/ drawing office to as built the master drawing.
Identification and Numbering of Engineering Drawing(s)
All drawings will have an identification number. The drawing number consists of the
following: 1) Area Code, 2) Engineering Discipline code, 3) Drawing serial number, 4)
Drawing sheet number, 5) Project Code, 6) Drawing size, 7) Revision.
1) Area:
Field name i.e. Daleel. Currently Daleel Petroleum Company has only one field (Daleel)
2) Sub area:
Facility under the a particular area, i.e. Production Station, Satellite Manifolds, well heads,
etc.
3) Sub area number:
A two digit number identifying code number for a particular sub area:
Sub area code number 11 is allocated for Daleel Field (Satellite Manifolds, Well Heads
and Water Injection)
Sub area code number 12 is allocated for Daleel Production Station
Sub area code number 13 is allocated for Lact Unit
Sub area code number 14 is allocated for Mazoon
Sub area code number 15 will be allocated for the B Block new facilities at Satellite
Manifold 4
Sub area code number 16 will be allocated for Water Supply Well heads
4) Area Code:
The Area Code is a three alphabetic character designation of an area or oil field. It is a short
of the area or field.

Area Code JPX (short for Japex) is currently the area code used on drawings and
documents to represent the Daleel Field. This covers Daleel Production station and
Daleel Field (well heads and Sattellite Manifolds-SM). JPX will be maintained on these
areas.

For all new areas the new Area Code shall be DAL. New areas will cover B Block
Facilities at SM-4 and Water Injection Facility, Water Supply System and Mazoon Field.
DAL will not used on existing drawings and areas as it will involves a lot of drawings and
documents modification.
5) Engineering Discipline Code:
The Engineering Discipline Code is a single numeric character indicating the engineering
discipline the drawing belongs to:
1 is for Multidiscipline drawings e.g. Plot plans, PFS, PEFS, etc.
2 is Civil discipline

3 is Piping/ Mechanical
4 is Electrical
5 is Instrumentation
6 is Telecommunication
7 is Cathodic protection
0 is Demolition

6) Drawing Serial number :


The drawing serial number is a four digit sequence number.
For B Block drawing numbers shall start from 1001, as the 1000 block will be dedicated for B
Block Gathering Station.
For Mazoon development will allocated with another block of number i.e. 2000.
7) Drawing Sheet number:
Three digit sequential number related to the main drawing covering the same subject.
8) Project Code
This is a unique identification code (named as Project code) allocated to a particular new
facility or modification or upgrade to existing facility within an sub area. The project code is
two alphanumeric character code (from A1 to Z9). The project number shall always be
included in project drawing numbering and document numbering forming the project drawing/
document identification number therefore the choice of alphanumeric code instead of fully
numeric code. Project code is used to clearly differentiate master drawings and documents
from project drawings/ documents and it identify the project.
9) Revision number
Each issue of modified drawing shall have a different revision number to distinguish between
different issues.
10) Drawing Size
A0, A1, A3, A4
Engineering Numbering
Plant/ Unit number:
A two digit identification number unique to a plant. This number always form the first two
digit of the plant engineering numbers i.e. equipment, tag, line, cable and instrument
numbers.
Unit Code number 11 is allocated for Daleel Field (Satellite Manifolds, Well Heads and
Water Injection)
Unit Code 12 is allocated for Daleel Production Station
Unit Code 13 is allocated for Lact Unit
Unit Code 14 is allocated for Mazoon

Unit Code 15 is allocated for the B Block facility Debottlenecking


Unit Code 16 will be allocated for Water Supply Well heads
Equipment/ Line/ Tag/ Cable Numbering
Equipment/ Tag/ Line / Cable numbers consists of three section; plant code, category of the
equipment (alphabetic letters), serial number of that particular type of equipment/ instrument,
line or cable.
A database will keep record of the used and available numbers.
Change Control
Changes to the as built drawings and documents could be caused by either 1) a project or 2)
field change, modification initiated by site operations.
1) Changes by a project
These are planned facilities modifications or upgrade. After completion of a project the
Construction Contractor along with the company representative shall prepare as built red line
mark up indicating the changes during construction. The redline mark up shall include
changes to the coordinates and elevations.
Redline mark up shall be forwarded to the Project engineer and Drawing record controller to
initiate as built exercise and update the master drawings.
2) Changes by Field Modification/ Change
These are field modifications or changes due to site problems, integrity or operational
improvement. Any such modification shall be recorded and as built mark up on relevant
drawings for as built. Any new equipment, tag, line, cable number shall be requested from
the engineering record focal point.
The as built mark up shall be forwarded to the Engineering Document Controller/
Engineering Document Office.
Engineering Document/ Drawing Storage
All engineering documents/ drawings shall be stored as electronic files as well as hard
copies. Copy of the electronic files (read only) shall be stored on the company server under
dedicated directory and on CDs kept in a safe area in the office. Hard copies of all the
documents of each document/ drawing shall be kept in a safe area.
