Set-up and Initialize your voice mailbox

How to initialize and set-up your voice mailbox...


Important: All steps below must be completed before any new messages will be sent to your mailbox!
From your desk phone:
1. Dial the voice mail system pilot number. Or
Press button labeled Messages

2. When prompted, enter your temporary password.


This password is 1 + last 4 digits of phone number + 1. Ex: (1xxxx1).

3. When prompted, enter a personal password.


Your new password must be between 6 and 15 digits, may not be a sequential number
and may not begin with zero.

4. Record your first and last name.


5. Record your personal greeting.
6. Press * until you hear "Goodbye!". This completes the voice mailbox initialization.

Access / Exit Voice Mail


Access your voice mail...

From your desk phone:


1. Dial your voice mail system pilot number. Or
Press the button labeled Messages
2. Enter your password when prompted.

to access the voice mail system.

From another phone in your area:


1. Dial your on-site voice mail system pilot number. Or
Press the button labeled Messages
to access the voice mail system.
2. Press #, when prompted enter your 10 digit telephone number followed by the # sign
3. Enter your password when prompted.

From home or off-site:


1. Dial the area code plus the 10-digit voice mail system pilot number.
2. Enter your (mailbox) when prompted followed by the # sign.
3. Enter your password when prompted.

If you do not receive a prompt to enter your mailbox number


1. Press #
2. Follow the prompts to enter your telephone number (mailbox) followed by the # sign.
3. Enter your password when prompted.

Advance 10 seconds into message: Press 3
Advance to end: Press 3, 3
Call details: Press 5
Increase volume: Press 9 up to 3 times until maximum volume level reached.
Return volume to normal, press 8.
Pause for 10 seconds: Press 2
Resume message play: press 2 again
Repeat last 10 seconds of message: Press 1
Rewind to beginning of message: Press 1, 1
Skip Message, save as new: Press # #
Skip to next message: Press # key
Slow playback: Press 4 up to 3 times during a single message.
Speed playback: Press 6 up to 3 times during a single message.

After Listening
Connect to caller: Press 8 8
Note: This feature is only available when the caller is in the same voice mail system.
Delete message: Press 7
Reply to message: Press 8
Note: This feature may not be available in all instances
Save message: Press 9
Forward message from your mail box:
1. Press 6
2. To erase introductions press 6, 6
3. When prompted for the number, enter 10 digit telephone number
Note: This feature may not be available in all instances

Exit the Voice Mail system:


Press *** to back out to the main menu and until you hear the auto attendant say Good-bye

Outcall Notification
Outcall notification alerts you when a message is left in your Voice Mailbox by calling out to a
telephone number or pager number that you specify.
The Voice Mail Pilot Telephone number will be displayed on the pager to notify you of new voice mail
messages. When Outcall Notification is set up to dial a non-cellular telephone number, a recorded
message will be heard when you answer the call, notifying you of new voice mail messages that have
been left in your voice mailbox. Follow the prompts to access and listen to the voice mail message.
Note: Outcall notification to cellular telephones is not supported. The information displayed is
not always consistent. However feel free to set-up voice mail outcall notification to call your cellular
device. Then call your office telephone number and leave yourself a voice mail message to see what
information will be displayed on your cellular device when the system attempts to notify you of new
messages in your mailbox. You will not be able to connect back to the voice mail system without
dialing to the Voice Mail Pilot number from your cellular device.
Control the hours when out calling is in effect
Set up the outcall schedule in your mailbox to have the system call immediately when a
message is delivered
Select the intervals of time between arrival of a new message in your voicemail box and when
the system calls to notify you
Urgent and non-urgent message notification schedules can be set individually.

Setup outcall notification:


Note: Your individual voice mailbox must be configured to use this feature or you will not receive a
voice mail prompt to set up a schedule.

Call into your voice mailbox.


Enter your password.
Dial 4 1 1 at each prompt to turn on outcall notification.
Go to the main menu and dial 4 4 1.
Press * * until voice mail says, "good bye."

USA Mobility, Nationwide Pagers only:


The pager number and PIN number programmed for outcall is: 1 (800) 946-4646.
If you have a personal 800 number ("One Number Access") see Note 2 below.
Please do not change this number (946-4646) when establishing an outcall notification schedule, or
it will not work.
Note 1: Personal Identification Numbers (PINs) are specified on a service order and cannot be
entered when programming pager outcall notification schedules within voice mail.
Note 2: One Number Access (ONA) 800 numbers also require a service order to function,
however the individual ONA 800 number must be programmed by the end-user when setting
up their outcall notification.

Questions specific to your PIN should be directed to your Voice Focal.

Pager outcall notification tips:


Even though a schedule is set, the system does not place calls unless the outcall notification
option for your voice mail is turned on. Be sure to complete step 1 in the: To set up outcall
notification process, shown above.
The number used for out calling can be any 10-digit pager number.
Do not enter an "8" or "9" before dialing the 10-digit number.
Pagers with an option menu will not work with voice mail outcall notification.
Notifications will be made as follows:
Urgent Calls, Four times within two hours.
Non-Urgent Calls, Two times within two hours.
If no call is made to the voice mail system to listen to the message after repeated pages, the
next time the mailbox is accessed, the following system message will be heard:
Previous attempts to reach you have been unsuccessful. Please check your
notification schedule for errors.
(This means the voice mail system made multiple attempts to notify you of new messages,
based on your outcall notification schedule. No call back was received for playback of the
message that triggered the outcall notification.)
If outcall notification is set-up to only send notification of messages marked urgent, use the
following format when recording your greeting:
Hello, this is [ insert your first and last name ]. Please leave a message at the tone.
If your message is urgent, please press "one, one, two" at the end of your message,
and I will be paged. Thank you.

Password (Changing)
To change your personal voice mail password, from the main menu press 4 2 1 1
If you forget your password you will have 3 opportunities to reenter the password, after the 3rd
attempt you will hear a lock out message. Hang up and redial to the voice mail system and you
will again be given 3 attempts to recall the voice mail password. If you are not able to remember
the password, contact the Enterprise Help Desk.
If the telephone was originally assigned for someone elses use, you will need to submit a service
request. Click here to submit a change of ownership and set up of the voice mail box for your
personal use. Due to privacy concerns, prior messages left in the mailbox will be deleted.

Personal Greetings

You may set your voice mail to play one of the following greetings when callers reach your
voice mail:
Extended absence greeting:
From the main menu, press 4 3 2 on your touchtone telephone keypad. Callers must listen to
the entire message.

Personal greeting:
Press 4 3 1 on your keypad.

Recorded name:
Press 4 3 3. This is the name you will hear when you access your voice mail.

Forward Calls to Voice mail

Forwarding calls to voice mail...


Press the programmed Send All Calls button or CfwdAll soft key on the telephone
display and press the Messages

on your telephone.

Telephones without Send All Calls or CfwdALL button


To program call forwarding from your telephone
Step 1. Lift the handset, access dial tone
Step 2. Enter * then 2 on the touchtone keypad.
Step 3. Enter the 10-digit voice mail system pilot number
You should hear two confirmation tones that the line was forwarded successfully.

Cancel forwarding of calls to voice mail:


Press the Send All Calls button or CfwdAll soft key on the display telephone.
Telephones without Send All Calls or CfwdALL button
To Cancel programmed call forwarding from your telephone
Step 1. Lift the handset, access dial tone
Step 2. Enter # then 2 on the touchtone keypad.
You should hear a single confirmation tone that call forwarding has been cancelled.
