Guidelines for using the On-line Simplifed Depot application

1. There are following type of user logins in the application.

a) FCI Depot Users - To report the commodity stock infows and
outfows on daily basis and the category-wise and ariety-wise stock
closing balance break-up of all commodities on monthly basis. The
user will be allowed to enter the data of a day latest by the ne!t day.
"f failed to do so# the data entry would be locked and the depot will
start appearing the defaulters list. $fter a re%uest to the designated
$dministrator of "&&S with alid reason the laggard depot shall be
allowed to enter the data for a limited time. The re%uest may be made
using the contact us tab in the rapid reporting module.
b) FCI District Users Data entry of stock fgures lying in mandies# at
ports and stocks with state agencies in central pool on monthly basis
The passwords are assigned as

a( )or depot users seen tabs will be isible. *ome# Opening +alance#
"nfow# Out )low# ,onthly Data -ntry# .ontact us / &eports.
b( On *ome Tab# the start-o0 reporting date to be entered frst-time
and for fe!ibility it is allowed to enter the date. That can be made f!ed if
start-o0 date is f!ed nation-wide. Second time reporting / onwards the
ne!t date shall appear automatically which shall not be editable. -nter
the name of &eporting 1ersonnel and Designation.
c( "f there are no transactions in the depot on a particular date# Tick
23o transactions2 and Submit.
d( "n opening balance tab one time opening balance entry for a
commodity is to be made.
e( "f there are transactions then "nfow and Outfow tabs can be
opened for daily data entry.
f( On infow screen receipt and gain alues are to be entered. "n
receipts# .ommodity# Source# / Total &eceipts '"n 4tl.5ggms( parameters
/ for gains# storage / transit gains are registered.
g( On outfow screen scheme-wise issues# dispatches and storage /
transit loss are recorded.
h( Once all the entries are done correctly# click on button 6Click if
data in all tabs fnalized. "t will show the table of entries made on
reporting date showing the commodity-wise totals.
7( "f the entries are checked to be correct as per the manual records#
then Daily break-up for .oered and .ap Storage )igures as on reporting
date are to be entered.
k( $fter giing the confrmation by checking the tick bo!# 6sae to
post8 button is clicked. +efore posting# all the fgures can be edited and
once posted it can not be.
l( )or initial phase# it is being allowed to report the data for any
number of days of backlog entry. "t is under proposal that the depots and
districts hae to report the data for a reporting date by 9:;<<;<< hours of
the ne!t day. "f depots and districts failed to report the daily=monthly
data by their due dates 'as defned by )." *4 on indiidual depots basis(#
they hae to seek the e!tension=rela!ation of data reporting period with
alid reasons of delays. This can be done using the contact us tab.
m( "f there is any problem=feedback# the users can report using the
same contact us tab.
n( The status of the re%uests=feedbacks can be monitored by all users
from depots to districts# regions# >ones / )." *4.
