COMELEC MEMO No.

201416
Dated 14 August 2014

TO: Loyola Schools Student Body
FROM: Ateneo Commission on Elections
RE: 4 CTM and 3 MGT Course Representatives

Greetings!

The Ateneo Commission on Elections regrets that the votes cast for 4 BS CTM and 3 BS MGT
course representatives were not properly counted due to a system glitch. However, the total number of
votes for these positions were counted and the votes for other positions remain unaffected because of
the nature of the glitch.

On August 12, 2014, the partial tallies for the course representatives of 4 BS CTM and 3 BS
MGT were not released due to the inaccuracy of the number of Abstain votes reflected in the
consolidator of votes. On the evening of August 13, 2014, while checking the system, it was discovered
that only the votes chosen on the first dropdown menus were counted. All other positions have only
one dropdown menu (due to the availability of only one seat or candidate) which means that all the
votes for other positions were not affected by the error. However, for the 4 BS CTM and 3 BS MGT
course representative positions, multiple dropdown lists were utilized due to the number of positions
available; hence, the votes on the other dropdown menus were not counted. Because of this, the Ateneo
COMELEC would be unable to show the breakdown of the votes for these positions.

As mentioned, the votes of the students from 4 BS CTM and 3 BS MGT were counted except
for their course representatives. In relation to this, the Ateneo COMELEC has a database of the ID
numbers of these students with lost course representative votes. Hence, should the course
representative positions of 4 BS CTM and 3 BS MGT reach quota, the Commission shall seek the
affected students to recast their votes for their course representatives only.

Rest assured, the Ateneo Commission on Elections will make sure to get all the lost votes by
August 18, 2014. Also, due to risks posed by the automated system such as this, the Commission shall
reevaluate the process of the elections to be utilized in future elections.

Please be guided accordingly. Thank you!

Sincerely,
