ADMISSION ASSISTANT JOB DESCRIPTION Proposal: The XXX School should establish the part-time position of Admission Assistant

to maximize the efficiency and service of the Office of Admissions. The Admission Assistant will be ideally work five days a week from 9 am until 2 pm (during the school year, with a shorter summer schedule), for a total of 20 hours per week. This schedule would be flexible and would vary based on scheduled recruitment events occurring outside these hours. Qualifications: The successful candidate for the position of Admission Assistant will possess a bachelors degree and relevant employment history in marketing or customer service. He/she will be warm, friendly, highly organized, and will be a self-starter capable of working independently. He/she will be knowledgeable in the use of Microsoft Office programs, e-mail, and the Internet. The ideal candidate will be knowledgeable about XXX Jewish Day School and the XXX city Jewish community. Job Functions: Perform all data entry into admissions database, including entry of new student intakes, tracking of application documents, enrollment documents, etc. Provide outstanding customer service to prospective and current school families, both in person and on the telephone. Staff admission office when Director of Admissions is off-site at another school campus. Learn basic information about school and answers to frequently asked questions to better serve prospective families making inquiries. Within six months on the job, be able to lead a campus tour for a prospective family. Create, maintain, and update database of school contacts, including preschools and their directors, synagogues and their rabbis, religious school directors, and other contacts. Request annually names and contact information of potential prospective students from above contact database. Generate all admission letters and communication as directed, stuff and mail bulk mailings. Maintain inventory of admission materials, applications, publications, and letterhead. Notify Director of Admissions of items requiring reorder. Maintain stock of pre-stuffed Admissions packets on each campus. Schedule meetings, tours, play dates, and interviews with prospective families for Director and Associate Director of Admissions. Maintain RSVPs for Admissions events. Complete organizational tasks for Admissions events on all campuses, including staffing registration table, room setup, making nametags, obtaining and setting up refreshments, completing maintenance requests, etc. Whenever possible Admissions events will not be double scheduled to enable Admission Assistant to attend events on all campuses. Request and maintain contact and birth date information on siblings of current/former school students for recruitment purposes. Become trained in using Blackbaud software and serve as data liaison between the Admissions Office and Business Office. Perform data entry into Blackbaud software as directed.

Create reports from admission database and Blackbaud as directed, include status reports of admission funnel progression, re-enrollment of returning students, and attrition. Assist in the preparation of statistics as requested by the Director and Associate Director of Admission. Receive and record monies for application, enrollment and re-enrollment. Prepare admission files for all applicants. Communicate status of applications and transfer files to appropriate campus. Other duties as assigned.
