Organizational background
The World Food Programme activities include food assistance for nutrition, livelihoods, relief and emergency school feeding,
while also supporting humanitarian air and logistics services, food security coordination and infrastructure rehabilitation
projects. Based on an official request from the Government of Egypt, WFP is also providing food assistance to Syrian
refugees residing in the greater Cairo area, Alexandria and Damietta through a voucher programme.
N.B.: This position is open to qualified Egyptian candidates.
Major Duties and Responsibilities
Within delegated authority, the Office Assistant will be responsible for the following duties: (These
duties are generic and thus are not all-inclusive nor are all duties carried out by all Business
Support Assistants)

Assist in extracting and inputting data from various sources in administrative, human
resource, procurement, logistics and other WFP systems;
Respond to enquiries from staff in the Division or field office and supply readily available
information from office files, databases, by liaising with other offices as appropriate;
Produce basic (small scale) reports for further analysis to be made by senior support staff;
Prepare routine correspondence using standard letters/templates or exchange
straightforward, fact-oriented messages not requiring discussion or elaboration;
Search for, retrieve, compile, assemble and archive a variety of statistical data from
computer files, records, reports or from other sources for internal/external use;
Operate a variety of office equipment such as photocopier, facsimile, printer, scanners, and
maintain supplies; produce photocopies of materials as required and collate pages when
necessary;
Check accuracy of basic calculations, coding, and data;
Receive telephone calls and office visitors and refer them to the appropriate source or reply
personally to simple queries when possible;
Collect, sort and distribute correspondence, reports and other material and transmit
correspondence, documents, etc, via electronic mail, fax, courier service or other means;
Set up, classify and maintain unit files;
Providing assistance for pre-distribution tasks, such as requesting security services and other
tasks as needed.
Answering the beneficiaries' queries through the hotline and UNHCR help desk.
Creation of reconciliation sheets.
Reconciliation of vouchers.
Providing assistance during preparation of monthly operational reports by responding to
enquiries from staff in the office and supplying readily available information.

Producing basic reports for further analysis to be made by senior support staff.
Perform other related duties as required.
Minimum Qualifications:
Education:

Secondary school education.

Experience:

At least one year of office experience; keyboard skills required.

Language:

Fluency in both oral and written communication in the UN language in use at the
duty station and in the duty stations language, if different.

Desirable
Working knowledge (level C) of two of the official UN languages; training and/or experience using
skills/experience: MS Word, MS Excel, MS PowerPoint and other WFP software; knowledge of FAO/WFP
administrative regulations and rules, and WFP policies and procedures in the area of work. Proven
knowledge of typing/keyboarding skills.
