This document was created to provide easy access to get started on the SLG retreat
ASAP! Files and documents are accessible in the shared drive under
Retreats/SLG/2014.
Tip: It was a quick turnaround, but provide you stick with the goals for each week
and think one step ahead, youll be right on track, with breathing room at the end.

6 Weeks before Events (June 23 27)
The Leadership Challenge (Kouzes & Posner, 2007)

Read section 1
o The 5 practices of Exemplary Leadership
o Credibility is the Foundation of Leadership

Retreat History/Lesson Planning

Review Past Schedules, content, logistics, and assessment reports (past 2


years)
Begin thinking about topics, themes, theory models

Budget Process

Discuss budget process (timing is key) and available funds for retreat

Location(s)

Begin researching locations (come up with at least 2, so you have one as


back-up)

Date(s)

Set dates for retreat (i.e. Saturday Sunday)


Send out Save the Dates to SLG and CWU staff participating (i.e. Ashlee,
Zack, and any Ellensburg folks) location(s) will be TBA
5 Weeks before Events (June 30 July 3)

Budget Process

Begin drafting budget-request forms with content (see examples for content)

Get estimate costs and/or invoice for budgeting purposes
Note: Confirm with event spaces and catering that it is OK to pay for event
AFTER event.
o If Purchase Order is required, work with Ashlee to get that requested
from Accounting (E-burg)

Create pre-retreat assessment for SLG to complete (suggested: Survey


Monkey)
Send out to all SLG (note: provide a DUE DATE)
4 Weeks before Events (July 7 11)

Submit budget-request forms to Ashlee at beginning of week (note: its ok if


she returns them for corrections/additions)
o Note: If ordering catering service through event space, confirm final
invoice (taxes and set-up fees may not be included in initial catering
request)
Submit final draft of budget-request forms to Ashlee
3 Weeks before Events (July 14 18)

Draft out lesson plans for your portion of professional development workshop
Connect with other facilitator(s) to review their lesson plan and activity ideas
(note: there was overlap of content last year, this is highly suggested to do
early)
Meet with Ashlee to discuss activity ideas (note: she has a lot of great ideas!
Use the binders in her office)
Think up back-ups that you can use if technology is an issue (its always an
issue)
Order any textbook/workbook materials needed for students

Communicate final updates/details with SLG and CWU Staff


o Keep Calm and Carry On there will be hiccups, but its ok!
THE Weekend of (Aug 9-10)!

Follow schedule, know where youre going, and be flexible if something goes wrong.
There is always a way to work it out.
Have Ashlee and Zacks phone numbers on speed dial!
Enjoy seeing all the hard work you did for the past 7 weeks happen.
Week after Events
Assessment

Reflect on YOUR experience - write things down!


o Highs/Lows
o Wish list for next event (materials, locations, timing, etc.)
Schedule debrief meeting with other staff members
o What worked well?
o What needs changing for next time?
Evaluate YOUR energy level and remaining internship hours
o Prioritize check-list so you know there is ample time to complete the
rest of the projects
Review SLG responses to post-retreat assessment
o Type up quantitative results
o Create executive summary

Lesson Planning

Go back to lesson plans and adjust any changes you made to reflect the final
product
Make notes for future facilitation
o Student interest and energy level (i.e. after lunch they were very
sleepy)

Submit all outstanding bills to Ashlee
