Outlook365 Analysis

Instructional Problems
There has been minimal training for educators and professionals using Outlook 365. Outlook 365
is ideally used by educators and professionals on a daily basis to communicate between one
another, parents, or another source outside of the classroom. Outlook365 is a fairly new program
being used school-wide that needs instruction on how to use certain features. Email systems are
crucial for communicating outside classrooms. Educators need to be informed on how to
properly navigate all aspects of Outlook 365 in order to successfully communicate with
colleagues, students, or parents. The goal of this project is to engage educators in professional
development that will instruct them in the proper usage of Microsoft Outlook 365.

Learner Characteristics
The learners identified for this project are the educators and professionals. An interview of an
Administrative Assistant at District X* (*name changed) gave the following generalized
information about the usage of Outlook 365 for approximately 1500 educators and professionals
in District X. The findings were as follows:
- About 73% (1095 out of 1500) of the sample used Outlook 365 daily or multiple times a day
- About 25% (375 out of 1500) of the sample used Outlook 365 4-6 times a week
- About 2% (30 out of 1500) of the sample used Outlook 365 less than 4 times a week
- Almost all of the users knew how to send and look at (receive) a basic email.
- The vast majority wanted to know more detailed information about navigating Outlook 365
other than sending or receiving a basic email.
- Most users do not know, and would like to know, how to navigate 365 outside of the Outlook
tab at the top of the email system. (There are other tabs such as Calendar, People, also known as
the contacts, Newsfeed, One Drive, Sites, and Tasks.)
- Some users also want to know how to navigate the mobile service of Outlook 365 so they can
access email on their mobile device.

Task Analysis
The survey interview findings showed that there is a need to educate users on how to navigate
past the basic aspects of Outlook 365.

Instructional Objectives
Goal- To engage educators in professional development that will instruct them in the proper
usage of Microsoft Outlook 365.

Objectives- After receiving professional development on the usage of Microsoft Outlook 365,
the user will be able to: 1) use and understand how to login to Outlook 365 product for email
purposes, 2) instruct the user on how to use Outlook 365 outside of its basic functions of sending
a simple email, 3) provide detailed access to a tutorial/simple answers to 365.
